Billing Specialist

This role is ideal for a self-starter who thrives in a fast-paced manufacturing environment and can work independently while maintaining a high level of accuracy. The primary focus will be high-volume billing, with opportunities to expand into broader Accounts Receivable responsibilities over time.

Key Responsibilities:

  • Generate and process customer invoices by matching shipping documentation, sales orders, and work orders to ensure accurate billing.
  • Review shipping documents and confirm all order details before creating invoices in QuickBooks Desktop and distributing them to customers.
  • Perform high-volume, detail-oriented data entry, ensuring pricing, quantities, and order information are entered accurately.
  • Match multiple work orders to corresponding sales orders and resolve any discrepancies prior to invoicing.
  • Assist with receiving functions by entering packing slips and receiver information into the ERP system as needed.
  • Support the Accounts Receivable function and take on additional AR responsibilities as the role evolves.
  • Maintain organized documentation and collaborate with operations and shipping teams to ensure timely and accurate order processing.

Qualifications:

  • Previous experience in billing, invoicing, accounts receivable, or a related accounting support role, preferably in a manufacturing or distribution environment.
  • Experience with QuickBooks Desktop is preferred; experience with Microsoft Dynamics 365 (D365) is a plus.
  • Proficiency in Microsoft Excel; experience with PivotTables and VLOOKUP/XLOOKUP is preferred.
  • Exceptional attention to detail with the ability to accurately process high-volume transactions.
  • Strong organizational skills and the ability to prioritize multiple orders and deadlines.
  • Self-motivated, proactive, and able to work independently with minimal supervision.
