More About the Billing Assistant Role:
We are currently seeking an experienced professional looking to take that next step in advancing their career path by accepting the engaging and fulfilling role as a Billing Assistant in our Tallahassee office location. The Billing Assistant is responsible for accurately and efficiently processing billing transactions in coordination with assigned billers to ensure timely invoices for services provided, in compliance with Firm policies and procedures. The ideal candidate for this role will be extremely detail-oriented, organized, technology savvy, possess strong verbal and written communication skills, demonstrate excellent customer service skills, interact professionally, and have strong problem-solving skills.

  • Associate’s degree preferred
  • Has at least two years of progressive billing or accounting experience, preferably in a professional services or public accounting environment
  • Experience with Accounts Receivable preferred
  • Resourceful problem-solver with a solid understanding of billing workflows
  • Proficiency in Excel, Word, Adobe, and Outlook
  • Has experience with time-and-billing software
  • Experience working with internal teams and communicating with clients in a professional manner
  • Strong attention to detail and financial accuracy
  • Proven ability to manage multiple tasks and deadlines independently
Essential Duties and Responsibilities
  • Prepare, edit, and issue client invoices across multiple service lines with accordance with firm and client specifications
  • Review time and billing reports (WIP), ensuring accuracy and proper application of rates, codes, and discounts
  • Respond to internal and external billing inquiries with professionalism and promptness
  • Assist with tracking accounts receivable and generating aging and collections reports
  • Follow up with clients on outstanding invoices and assist in collections efforts as needed
  • Support month-end close processes related to billing and A/R
  • Collaborate with team members to identify and support process improvements
  • Maintain organized billing records and documentation in compliance with firm standards
This is an in-person, working at the office role in Tallahassee, FL. You’ll find that between our regular team meetings, firm forums, and participation in office-wide events, we are committed to staying connected as a team.
