Job Description

AECOM Mississauga is hiring an Office Project Manager & Workplace Operations Lead.

The Office Project Manager & Workplace Operations Lead provides operational leadership, project coordination, and workplace governance support across a major rail and transit program. This role is responsible for coordinating workplace operations, operational readiness, workplace systems, onboarding activities, and continuous improvement initiatives across multiple office environments.

Working closely with program leadership, Business Support, client teams, IT groups, facilities partners, and vendors, this role serves as the central coordinator for workplace-related initiatives, ensuring processes, systems, and operational requirements are aligned to support an effective and collaborative delivery environment.

The position combines workplace operations expertise with project management, stakeholder coordination, governance, and change enablement capabilities to improve operational consistency and team effectiveness.

This is a newly created role.

Responsibilities include but are not limited to:

Workplace Operations & Project Coordination

  • Lead coordination of workplace operations across multiple office locations.
  • Support workplace planning activities including seating strategies, utilization reviews, onboarding readiness, office transitions, and workspace improvements.
  • Manage operational initiatives through planning, coordination, implementation, and close-out.
  • Track operational risks, issues, actions, and improvement opportunities to support timely resolution.

Governance, Processes & Continuous Improvement

  • Develop, implement, and maintain workplace operating procedures, standard operating procedures (SOPs), and governance processes.
  • Maintain operational trackers, reporting tools, dashboards, and leadership updates.
  • Support procurement coordination, business cases, and approval processes.
  • Identify opportunities to improve operational efficiency and employee experience.

Digital Workplace & Technology Enablement

  • Coordinate with IT teams, facilities groups, and vendors to support workplace technology readiness.
  • Support implementation and adoption of collaboration tools, meeting room systems, and digital workplace solutions.
  • Develop guidance materials, onboarding resources, and SharePoint-based operational tools.

Stakeholder & Vendor Management

  • Coordinate interfaces between the Delivery Partner, the client, partner organizations, vendors, facilities providers, and workplace stakeholders.
  • Support onboarding activities and operational readiness for new team members.
  • Facilitate issue resolution and maintain effective communication across integrated teams.
  • Support workplace engagement initiatives that promote a collaborative "One Team" culture.
  • PMP certification or equivalent project management experience.
  • Experience supporting major rail and transit programs, workplace transformations, or large integrated teams.
Qualifications

Minimum Requirements

  • Bachelor Degree in a relevant discipline (Business Administration, Project Management, Operations Management, Facilities Management, or a related discipline)  + 6 years experience in workplace operations, project management, business operations, facilities coordination, or PMO environments  or relevant diploma + 8 years of relevant experience

Preferred Qualifications

  • Ideally 8+ years experience in workplace operations, project management, business operations, facilities coordination, or PMO environments.
  • Experience coordinating complex initiatives across multiple stakeholder groups and vendors.
  • Demonstrated experience developing processes, governance frameworks, or continuous improvement initiatives.
  • Strong project management, organizational, communication, and problem-solving skills.
  • Experience supporting hybrid workplaces and digital collaboration environments.
  • Proficiency with Microsoft 365 tools including SharePoint, Teams, Planner, Excel, and Power BI.
