The Peninsula's Premier Basketball Academy for Youth Basketball: Team Esface Basketball Academy

Team Esface Basketball Academy is a rapidly growing organization dedicated to nurturing young athletes and helping them reach their full potential both on and off the court. We're seeking a dynamic and detail-oriented Administrative Operations Coordinator to join our team and play a crucial role in our continued success.
Position Overview:
The Administrative Operations Coordinator will be an essential member of our team. Main duties include ensuring the smooth operation of our financial processes, completing administrative tasks, assisting HR with administration, and ensuring smooth program operations.
Qualifications:
  • Associate's or Bachelor's degree in business administration, finance, or a related field is preferred.
  • Proven experience (2+ years) as a bookkeeper, administrative accountant, Human Resource, or similar role.
  • Strong proficiency in Quickbooks Online software and Google Business Suite (Gmail, Drive, Docs, etc).
  • Excellent organizational and multitasking abilities.
  • Exceptional attention to detail and accuracy.
  • Effective communication and interpersonal skills.
  • Passion for youth development and basketball is a plus.
  • Prior experience in a sports or youth organization is preferred but not required.

KEY RESPONSIBILITIES:
  • Financial Management:
    • Maintain records of financial transactions by establishing accounts, allocating and posting transactions for current and long-term liabilities that comply with federal, state, and local legal requirements. Responsibilities include:
      • Accounts payable/receivable, payroll processing, prepaid, accrued liabilities, unearned income, current assets, and bank reconciliations.
      • Maintain historical records by filing documents
      • Prepares monthly financial reports by collecting, analyzing, and summarizing account information and trends to support decision-making.
  • Budgeting:
    • Assist in creating and monitoring budgets for various programs and initiatives within the academy.
  • Reporting:
    • Generate financial reports and summaries to support decision-making.
  • HR Assistant
    • Maintains employee data in the Paycor system for both new and existing employees.
    • Assist in compliance with federal and state laws
    • Respond to federal, state, and local government notices regarding employee
  • Administrative Support:
    • Handle administrative duties. Responsibilities included:
      • Office Management - managing schedules, coordinating meetings, and maintaining office supplies.
  • Team Collaboration & Onsite Operations:
    • Work closely with coaches, staff, and management to ensure efficient program operations.
  • Customer Service:
    • Provide excellent service to parents, athletes, and visitors who contact or visit the academy.
  • Ad-Hoc Tasks:
    • Perform other duties as needed to contribute to the academy's success.
    • Onboarding Part-time employees
    • HR Compliance administration

Work Arrangement:
We are excited to offer a Hybrid Position that combines the flexibility of working from home with the benefits of in-person collaboration. While some of the work can be done remotely, this role requires onsite for specific tasks and meetings on designated days each week. This arrangement allows a balanced work environment, leveraging the best of both remote and in-person work settings.
