Job description

We are looking for an Operations Assistant at Holiday Inn & Suites.

The Operations Assistant provides administrative support to Operations Manager.  This role will ensure guest satisfaction and efficient operation of the hotel by assisting back of the house operating departments. The Operations Assistant may function to support a number of areas

at the property including front office, F&B, banquets. Other duties may be assigned as required by the business demand.

Essential Functions:

  • Distributes contracts, memos, reports, changes, and revisions.
  • Copies correspondence or other printed matter.
  • Prepares room blocks, proposals, confirmations, thank-you letters, covers sheets, functions information sheets, rooming lists, etc.
  • Ensure hotel billing is processed and mailed in a timely fashion
  • Make phone calls to all new billings and outstanding accounts to keep Accounts Receivable.
  • Maintain a filing system for direct billing
  • Assist with accounts payable online including processing invoices for payments.

 SUPPORTIVE FUNCTIONS

 

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.

  • Follow through on all groups coming into the hotel.
  • Maintain a file system for the Managers on a monthly basis
  • Prepare detailed group histories for groups that are considering the hotel.
  • Maintain office supply orders and par levels.
  • Complete other duties as assigned by supervisor to include cross training.
  • Report all unsafe conditions immediately.
  • Attend all mandatory meetings.
  • Follow and know emergency procedures as needed.
  • Keep work area clean and organized.
  • Maintain a good working relationship with other departments, employees, and guests.
