Job description

The Litigation Docketing Specialist plays a critical role in managing legal deadlines and ensuring compliance with court rules and procedures. This position is responsible for maintaining accurate and timely docket entries for litigation matters across federal, state, and local jurisdictions. The specialist works closely with attorneys, paralegals, and legal support staff to ensure all critical dates are tracked and communicated effectively. This is a full-time, hybrid, non-exempt position with excellent benefits, resident in our NY or DC offices and reporting to the Associate Director of Business Intake & Compliance.

Essential Job Duties and Responsibilities

  • Review, process, and calendar litigation deadlines for all assigned matters, and maintain accurate docket entries in the enterprise docketing system.
  • Create docketing profiles to support lawyers and practice team workflow processes and reporting preferences.
  • Monitor shared mailboxes and docket requests to ensure timely processing.
  • Review court filings, orders, and notices to identify and record deadlines.
  • Ability to interpret complex legal documents and court notices.
  • Generate and distribute docket reports and calendar reminders.
  • Collaborate with designated Docket Liaisons (often associates or paralegals) for case-specific needs.
  • Maintain information regarding state and federal court and administrative agency rules and procedures with respect to filing deadlines and communicate with lawyers and case teams regarding updates and changes.
  • Manage and docket PTAB and TTAB case schedules and deadlines.
  • Research and apply court rules, judge-specific procedures, and jurisdictional requirements.

      Other Duties & Responsibilities

      • Ensure all docket entries comply with firm policies and legal standards.
      • Promote the firm’s docketing policies and procedures through group training and one-on-one contact with lawyers and support staff.
      • Communicate frequently with lawyers, paralegals and secretaries with an emphasis on “customer-service.”
      • Make recommendations to the Associate Director of Business Intake & Compliance for continual improvement of the firm’s docketing practices.
      • Participate in quality control reviews and process improvement projects.
      • Attend meetings with Associate Director of Business Intake & Compliance.
      • Maintain National Docketing Association (“NDA”) membership and participation.
      • Undertake other projects and duties as assigned by the Associate Director of Business Intake & Compliance.

          Qualifications:

          Required

          • Bachelor’s degree from an accredited institution. 
          • If no degree, a minimum of 2-5 years’ experience in a law firm Litigation Docketing role or similar is required.
          • Substantial experience computing calendar deadlines for state, federal and appellate courts.
          • Experience with USPTO, PTAB and TTAB litigation procedures.
          • Knowledge and experience with court-rules bases calendaring systems.
          • Knowledge and experience with electronic court filings.
          • Strong research, problem-solving, decision-making, and analytical skills.
          • Demonstrated ability to effectively communicate and interact with colleagues, which will include lawyers, paralegals and legal support staff, both verbally and through written documentation.
          • Demonstrated ability to maintain strict confidentiality of internal and personnel affairs.
          • Proven flexibility in managing multiple priorities.
          • Proven ability to work effectively in a time-sensitive environment.
          • Demonstrated ability to function independently while promoting and participating in a team environment.
          • Demonstrated computer skills including the advanced use of Internet search engines, general database applications, and Microsoft Office products.

              Preferred

              • Experience using Aderant Milana, PACER, PacerPro, and related court data resources.

              Extent of Public Contact

              This position requires contact with individuals within the firm as follows:

              • a high degree of contact with the Firm General Counsel’s Office and IT Business Practice Solutions staff.
              • a high degree of contact with Firm lawyers, paralegals, administrative assistants, and legal support staff.
              • a moderate to high degree of contact with Business Intake & Conflicts department.

              Physical Demands

              • Routine office environment; must be able to sit at computer for long periods of time analyzing data; must be able to lift files and research materials up to approximately 10 lbs.

              Working Condition and Environment

              • This is a full-time, hybrid, non-exempt position.
              • This role will only be required to report to the office based on occasional needs and when directed by the department’s Associate Director. 
              • Work is normally performed in a standard office environment.
              • Position is full-time and requires a five-day work week and standard hours as outlined in the Firm policy manual.

              For positions based in the New York or Washington DC office of Baker Botts L.L.P., the salary range is $38.46 - $48.72 per hour.
