POSITION SUMMARY:

           

The Properties Administrative Assistant assist in maintaining our media security badges and “Class A” commercial properties located at the FLL airport.  The Properties Leasing Administrator will assist the Property Manager with day-to-day operations and deliver first-class customer service to all clients.

 

DUTIES AND RESPONSIBILITIES:

  • Oversee SIDA badges and processing for clients and staff.
  • Maintain database with up-to-date media security badge information for TSA and BCAD quarterly audits.
  • Maintain database with up-to-date media security badge information for US Customs quarterly audits.
  • Schedule appointments for media security badges holders.
  • Email friendly reminders to badge holders regarding their renewals.
  • Oversee AOA proxy cards and hard keys for media security badge holders.
  • Maintain database with up-to-date proxy card and hard key information for quarterly audits.
  • Bill back media security badge and proxy card/key fees to clients in Yardi.
  • Provide exceptional customer service to tenants pertaining to their questions, needs, and service requests regarding media security badges; addresses and promptly resolves the questions, requests, and complaints from tenants.
  • Prepare communications such as memos, emails, and reports for badges and AOA proxy cards/keys.
  • Develop and maintain ethical, professional, and courteous relations with clients.
  • Think “outside the box” to problem solve in creative ways for familiar situations and be willing to ask questions and “self-educate” and apply logic for situations that are new and/or unfamiliar to solve problems.
  • Order and maintain office supplies.
  • Process daily mail.
  • Check rent box daily.
  • General clerical duties include photocopying, scanning, emailing and mailing.
  • Maintain and oversee FLL-maintenance email and enter work orders into Yardi and follow up with clients on work order progress daily.
  • Maintain and oversee FLL-invoices email.
  • Oversee property invoices from vendors, make sure they have the correct data on invoices before sending them to accounting daily.
  • Contact vendors to update invoices and make sure we have an up-to-date Certificate of Insurance on file for each vendor.
  • Maintain Utility Tracking Spreadsheet monthly.
  • Works on miscellaneous projects with Property Manager and Lease Administrators.
  • Reports any problems or issues to property manager.
  • Perform other duties as assigned.

QUALIFICATIONS:

 

  • High school diploma or GED.
  • Experience in dynamic multi-tasking situations is a must.
  • 2-4 years’ relevant experience in administrative services.
  • The ability to identify and resolve problems.
  • Strong Interpersonal and customer service skills.
  • Strong writing skills.
  • Proficient in Microsoft Office. (Outlook, Word, Excel)
