POSITION SUMMARY

Since Axiom Space is a very complex work environment, we are looking for a resilient, high-energy Senior Executive Administrative Assistant who is a dedicated operational and administrative partner to both the Chief People Officer (CPO) and the Chief Information Officer (CIO), providing equal and consistent support across both offices. This role is designed for a seasoned executive support professional who thrives at the intersection of administrative excellence and operational execution โ€” someone who not only keeps both executivesโ€™ daily environments running with precision, but also takes ownership of driving initiatives, projects, and priorities to completion.

This is not a purely administrative role. While the Senior Executive Administrative Assistant manages calendars, travel, expenses, and meeting logistics with the highest level of professionalism, they are equally expected to run things to ground โ€” tracking deliverables, following up on open items, facilitating cross-functional coordination, and ensuring that nothing falls through the cracks across two fast-moving executive offices.

The Senior Executive Administrative Assistant works in close alignment with the Chief of Staff support team, including the Executive Operations Manager within the Office of the CEO, to ensure that the CPOโ€™s and CIOโ€™s priorities are coordinated with enterprise-level objectives and that cross-functional work moves with clarity and accountability.

Dual Executive Partnership โ€” CPO & CIO

Supporting two Chiefs simultaneously requires a high degree of organization, judgment, and the ability to manage competing priorities without sacrificing quality or responsiveness for either principal. The Senior Executive Administrative Assistant is expected to:

  • Maintain equal visibility into both executivesโ€™ priorities, commitments, and operational needs, proactively surfacing conflicts, gaps, or alignment opportunities between the two offices.

  • Understand the distinct domains of each principal โ€” the CPOโ€™s focus on people strategy, talent, culture, and organizational effectiveness, and the CIOโ€™s focus on technology, systems, digital infrastructure, and information security โ€” and tailor support accordingly.

  • Serve as a trusted point of contact for both offices, managing communications, requests, and escalations with discretion and sound judgment

  • Coordinate between the CPO and CIO offices when initiatives, decisions, or stakeholders intersect โ€” ensuring both executives are operating with the full picture.

  • Partner with the Chief of Staff support team, including the Executive Operations Manager, to ensure the CPOโ€™s and CIOโ€™s priorities are visible at the enterprise level and aligned with CEO-level strategic direction.

KEY DUTIES & RESPONSIBILITIES

  • Manage complex, high-volume calendars for both the CPO and CIO, proactively aligning schedules with their respective priorities and resolving conflicts with sound judgment.

  • Coordinate domestic and international travel for both executives, including end-to-end itinerary planning, visa requirements, and day-of logistics.

  • Process and reconcile expense reports for both principals in a timely and accurate manner, ensuring full compliance with company expense policy.

  • Prepare agendas, pre-reads, and briefing documents for all CPO- and CIO-led or attended meetings, ensuring both executives are fully prepared for every engagement.

  • Own action item tracking across both offices โ€” following up with owners, escalating delays, and ensuring commitments are closed on time.

  • Run open items, deliverables, and priorities to ground on behalf of both executives, proactively closing gaps without waiting to be asked.

  • Track the status of ongoing initiatives and cross-functional commitments for both the CPO and CIO, surfacing risks or delays in a timely manner.

  • Coordinate cross-functional work between the People and Technology teams, ensuring information flows accurately and operational handoffs are clean.

  • Serve as the primary administrative liaison between the CPO's and CIO's offices and the broader organization, ensuring clear communication and timely follow-through.

  • Partner with the Chief of Staff and support team across executive offices to ensure alignment between the CPO's and CIO's priorities and CEO-level strategic objectives.

  • Develop and maintain SOPs and process documentation for recurring activities within both the CPO's and CIO's offices.

  • Leverage project management and productivity tools (including Jira and Microsoft 365) to manage workstreams, track deliverables, and maintain operational accountability.

QUALIFICATIONS:

Education & Experience

  • Bachelorโ€™s degree in Business Administration, Operations, Communications, Human Resources, or a related field.

  • 10+ years of experience in a senior executive assistant or executive administrative role supporting C-suite leadership, within a startup where priorities shift quickly.

  • Experience supporting multiple executives simultaneously in a fast-paced, high-complexity environment strongly preferred.

  • Demonstrated experience managing executive travel and expense reporting, including international travel coordination and policy compliance.

  • Familiarity with People (HR) and/or Technology (IT) functions a plus โ€” demonstrated ability to quickly learn the language and priorities of new functional domains.

  • Proficiency in Microsoft 365 (Outlook, Teams, SharePoint, OneNote) and project management tools (Asana, Monday.com, Jira, or equivalent).

  • Demonstrated ability to manage competing priorities across multiple principals with equal responsiveness and quality.

  • Exceptional written and verbal communication skills; comfortable drafting executive-level communications and synthesizing complex information.

  • Experience in aerospace, defense, technology, or government contracting environments a plus.

  • This position may require access to export controlled technical data or technology subject to NASA regulations, International Traffic in Arms Regulations (ITAR), or Export Administration Regulations (EAR).
