Client Services & Operations Associate – ***Private Aviation Industry operations experience highly preferred***


  • Location: Boca Raton, Florida
  • On-site position (100%); Monday through Friday 9:00am to 5:00pm in office with ability to be reached / on call after hours as needed with this 24/7 company operation. Schedule is ever-changing and quick-changing as business and client needs call for it.

Position Summary – Client Services & Operations Associate:


Growing private jet aviation company seeks a highly organized, client-focused Client Services & Operations Associate to join the Operations team. This role serves as a critical liaison between aviation advisors, clients, operators & vendors. Client Services & Operations Associate manages trip execution from initial request through post-flight follow-up. Position requires strong operational judgment, attention to detail, the ability to perform under time-sensitive conditions in a fast-paced aviation environment, and the ability to be on-call after hours (as needed) for this 24/7 company operation. Schedule is ever-changing and quick-changing as business and client needs call for it.


Responsibilities – Client Services & Operations Associate:


  • Manage client private jet/charter/etc. requests from initial inquiry through post-flight follow-up
  • Coordinate with operators, pilots, and third-party vendors including catering and ground transportation
  • Build & manage detailed flight itineraries, trip logistics, etc.
  • Monitor flight schedules, weather, aircraft status, and operational changes in real time
  • Provide proactive, professional communication to clients before, during and after flights
  • Conduct flight following and ensure smooth execution of all trips
  • Ensure compliance with all safety, regulatory, and operational standards
  • Assist with flight services including catering, transportation, and special client requests
  • Support administrative, analytical, and reporting tasks related to flight operations
  • Assist accounting with billing, invoicing, and post-trip reporting


Qualifications – Client Services & Operations Associate:


  • REQUIRED: minimum 3+ years' experience in private luxury corporate travel, private luxury hospitality, or similar industry high-net-worth client-facing operations -- private aviation experience (FARs Part 135, etc.) highly preferred (or ability to be trained in the industry)


  • Proven operations / administrative support experience with the ability to be client-facing / personable to client base; Strong client-service mindset with a white-glove approach.


  • ***AVAILABILITY****: Ability to work in-office Monday through Friday (9:00am to 5:00pm) and be reached / on call after hours as needed with this 24/7 company operation. Schedule is ever-changing and quick-changing as business and client needs call for it.


  • ***SELF-STARTER / PROBLEM SOLVER required***


  • Bachelors level degree preferred but not required if industry experience is relevant
  • Microsoft Office Suite proficient (Word, Excel, PowerPoint, Outlook)
  • Proficiency with scheduling systems and CRM platforms (HubSpot, Salesforce preferred)
  • Strong operational, communication (verbal/written), organizational, time management, analytical, problem-solving, and attention to detail skills
  • Ability to manage multiple priorities simultaneously, under pressure, in a fast-paced environment
