Job description

Responsibilities
  • Coordinate logistics for 12+ trade shows running August through November, serving as a key support resource for the marketing team throughout the season.
  • Complete all pre-show paperwork including checklists, information sheets, pre- and post-show call coordination, and return shipping arrangements.
  • Manage hotel reservation adjustments as needed.
  • Pack and ship booth displays, AV equipment, product samples, brochures, and all additional materials required for each show.
  • Transport booth items and equipment to and from the warehouse using carts; pack all tradeshow materials to ensure safe transit.
  • Receive, unpack, and inventory all items returning from shows, verifying that all components including hardware and attachments are accounted for and stored correctly so materials are show-ready for the next shipment.
  • Inspect returned ureteroscopes and product samples to confirm they are in proper working condition.
  • Maintain organized storage of all materials in designated marketing closet locations.
  • Collect post-show leads and route them to the Senior Marketing Manager for review.
  • Support overall marketing organization by keeping both marketing closets neat, stocked, and well-maintained.
  • Fulfill outbound brochure and consumables binder requests in a timely manner.
  • With experience, take on show management responsibilities for smaller IDN and state-level shows.

Schedule
This is a part-time role estimated at 10 hours per week, scheduled across two to three non-consecutive days (for example, Tuesday/Thursday or Monday/Wednesday/Friday). The split schedule ensures timely fulfillment of material requests throughout the week.
