Job description

The BSSM Missions Manager provides strategic leadership and operational oversight for all BSSM Short-Term Missions programs. This role is responsible for leading the planning, execution, and continual improvement of mission experiences that equip and mobilize students into global ministry. The BSSM Missions Manager oversees departmental systems, manages staff, develops leaders, coordinates international logistics, and partners with internal departments and global ministry partners to successfully send around 1,000 students and nearly 100 Trip Leaders to nearly 25 nations annually. This position combines leadership, operations, project management, financial stewardship, and pastoral care. The ideal candidate is an experienced leader who thrives in complex environments, develops healthy systems, builds strong teams, and carries a heart to see students transformed through missions. This role is designed with AI-assisted administrative support in mind, freeing the Missions Manager to focus on strategic leadership, relational discipleship, and the complex human judgment calls that AI cannot replace.


Hours: 40 hours per week

Compensation: $25.00-$28.00 per hour


Job Requirements

Strategic Leadership

● Lead the overall vision, planning, and execution of the BSSM Short-Term Missions program.

● Develop annual operational goals, timelines, and department priorities.

● Continuously evaluate and improve departmental systems and workflows.

● Lead organizational change initiatives and implement new processes that improve efficiency and student experience.

● Manage department projects from planning through execution while ensuring alignment with the overall vision of Bethel Missions.

● Partner closely with the Missions Director regarding strategic initiatives, budgeting, staffing, and long-term planning.

● Oversee all communication to students and Trip Leaders throughout the mission's lifecycle.

● Ensure timely communication through email, web platforms, announcements, and training materials.

● Collaborate with BSSM Administration, Marketing, Finance, Travel, and other departments.

● Serve as the primary escalation point for complex student and leader situations.

Operations and Logistics

● Oversee the planning and execution of 45–50 domestic and international missions trips annually.

● Coordinate with international ministry partners and travel agencies.

● Oversee travel logistics including flights, visas, insurance, emergency protocols, accommodations, transportation, and documentation.

● Ensure compliance with international travel regulations and nonprofit standards.

● Provide oversight of emergency response procedures during active trips.

● Oversee departmental missions budgets.

● Monitor fundraising progress and donation reporting.

● Ensure compliance with 501(c)(3) nonprofit regulations.

● Partner with the Finance coordinator regarding trip budgets, payments, scholarships, refunds, and financial reconciliation.

● Approve financial exceptions and oversee stewardship of departmental resources.

● Manage department workflows using Asana and other project management systems.

● Develop scalable systems that improve efficiency across the department.

● Oversee documentation, reporting, and record management.

● Utilize AI and emerging technologies to improve communication, automation, and operational effectiveness.

● Maintain and improve student-facing platforms including MyBSSM, Student Resources, and internal databases.

Training and Development

● Lead, supervise, and develop the BSSM Missions team.

● Delegate responsibilities while ensuring accountability and excellence.

● Conduct staff meetings, coaching, and performance feedback.

● Build a healthy team culture focused on collaboration, ownership, and continual improvement.

● Assist in onboarding and training new staff members.

● Oversee the development and care of more than 100 Trip Leaders throughout the school year.

● Plan and facilitate monthly Trip Leader training.

● Equip leaders with resources, policies, and best practices for leading healthy teams.

● Oversee leader selection processes and leadership development initiatives.

● Conduct post-trip evaluations and implement improvements based on leader feedback.

● Serve as pastoral and administrative support for leaders throughout the missions process.

Minimum Qualifications

● Believes and adheres to the beliefs and vision of Bethel Church

● High School Diploma; completion of BSSM required.

● Management background of at least 1 year.

● Strong skills in Google Workspace: Google Sheets, Google Docs, Google Forms, and Google Calendar.

● Basic overall knowledge of how to operate a Mac computer.

● Experience using Asana for project management.

● Basic knowledge and experience with AI tools.

● Ability to professionally answer emails, phone calls, and inquiries.

● Exceptional administrative skills.

● Excellent, clear communication (oral and written) and negotiation skills.

● Knowledge of international travel regulations, customs, and currencies.

● This position does not qualify for sponsorship of work authorization or an employment visa, so candidates must be legally qualified to work in the U.S. to be considered for this position.
