Parts Manager: Odyssey Shankle Bus & Truck Repair

Full-Time | Starting Salary: $62,000 per year

About the Position

Odyssey Shankle Bus & Truck Repair is looking for an experienced, organized, dependable, and hands-on Parts Manager to oversee our parts department and online parts store.

The Parts Manager will be responsible for inventory management, purchasing, vendor relationships, shop parts orders, online orders, shipping, reporting, and the overall organization and efficiency of the parts department.

This Is a Hands-On Management Position

We are a small shop, and this is not a position where the Parts Manager simply manages from behind a desk.

Because of the size of our operation, the Parts Manager will be expected to learn and perform all functions of the parts department, including both management responsibilities and the day-to-day duties normally handled by a Parts Assistant.

This means the right candidate must be willing to:

• Receive and put away parts.
• Organize and maintain parts inventory.
• Pull parts for technicians and repair orders.
• Process parts orders.
• Look up and cross-reference parts.
• Place and receive purchase orders.
• Pick, pack, and ship online customer orders.
• Process returns, cores, warranties, and credits.
• Perform physical inventory counts.
• Maintain accurate inventory records.
• Keep the parts department clean and organized.
• Assist customers at the parts counter and by phone.
• Manage online parts orders and customer inquiries.
• Perform all other day-to-day duties necessary to keep the parts department operating efficiently.

The title is Parts Manager, but that does not mean any task in the parts department is beneath you.

We need a leader who is willing to roll up their sleeves, jump in, and get the job done when the department gets busy.

If an online order needs to be packed, pack it.

If parts need to be put away, put them away.

If inventory needs to be counted, count it.

If a technician needs a part, help find it.

If a shipment needs to go out, make sure it goes out.

We are looking for someone who leads by example, takes ownership, and understands that in a small business, everyone contributes.

Key Responsibilities

Parts Department & Inventory Management

• Manage the daily operations of the parts department.
• Process approximately 15–20+ parts orders per day.
• Source and purchase parts for buses, trucks, trailers, box trucks, and related commercial vehicles.
• Maintain accurate inventory levels.
• Perform regular physical inventory counts and reconcile discrepancies.
• Establish appropriate minimum and maximum inventory levels.
• Track parts received, issued, returned, backordered, and special-ordered.
• Pull and stage parts for technicians.
• Maintain an organized and efficient parts storage system.
• Monitor slow-moving, obsolete, and overstocked inventory.
• Reduce inventory loss and unnecessary purchasing.
• Maintain accurate records between physical inventory and the online store.

Online Parts Store

• Oversee the day-to-day operation of the online parts store.
• Monitor incoming online orders.
• Process online orders accurately and efficiently.
• Verify part numbers, quantities, pricing, and customer information.
• Pick, pack, and ship customer orders.
• Ensure online orders are shipped within established company timeframes.
• Track shipments and resolve shipping issues.
• Maintain accurate online inventory.
• Process online returns, exchanges, warranties, cores, refunds, and replacement orders.
• Respond to customer questions regarding parts, availability, pricing, compatibility, and shipping.
• Identify opportunities to improve online sales and customer experience.

Purchasing & Vendors

• Source parts from OEM and aftermarket suppliers.
• Obtain competitive pricing.
• Place and track purchase orders.
• Maintain strong vendor relationships.
• Monitor pricing, availability, lead times, and vendor performance.
• Follow up on backorders and delayed shipments.
• Process vendor returns, warranties, cores, and credits.

Reporting & Management

• Prepare weekly inventory and parts reports for management.
• Track parts purchases and department expenses.
• Monitor inventory turnover.
• Report inventory discrepancies and corrective actions.
• Track online order volume and fulfillment.
• Monitor shipping delays and unresolved orders.
• Recommend ways to improve inventory control, purchasing, fulfillment, and profitability.

Qualifications

• Previous experience in parts management, automotive/truck parts, fleet maintenance, heavy-duty equipment, or a related field.
• Strong knowledge of commercial truck, bus, trailer, or automotive parts.
• Experience with inventory management.
• Strong organizational and time-management skills.
• Ability to manage 15–20+ orders per day.
• Strong computer skills and ability to learn inventory and e-commerce systems.
• Strong communication and vendor-negotiation skills.
• Excellent attention to detail.
• Ability to multitask in a fast-paced repair environment.
• Ability to work independently and take ownership.
• Willingness to perform both management and hands-on parts-assistant duties.

Ideal Candidate

The ideal candidate is a working manager, not a “that’s not my job” manager.

You should be comfortable managing inventory, purchasing parts, dealing with vendors, assisting technicians, fulfilling online orders, packing shipments, answering customer questions, counting inventory, preparing reports, and doing whatever else is necessary to keep the department running.

No ego. No job too small. No waiting around for someone else to do what needs to be done.
