Job description


An Extended Warranty Contract Cancellation Administrator manages the termination of Vehicle Service Contracts (VSCs), calculating pro-rated refunds, processing paperwork, and issuing payments to lenders or customers. Key duties include verifying cancellation requests, calculating chargebacks, maintaining compliance with regulations, and reconciling accounts.
The ideal candidate for this position has a high school diploma or GED, some post-secondary education (degree, coursework, or certification), two years of experience in a similar position, knowledge of automotive parts and service, strong administrative, organizational, math, and computer skills, and exceptional interpersonal skills. Fluent English speaking and written communication skills, good time management skills, and professional dress, speech, and behavior are all required for this position.
RESPONSIBILITIES
  • Reconciles statements from the warranty providers for all products that were sold, service RO's that were paid, and cancellations that were paid for the previous business month
  • Cancellation processing to include receiving and reviewing cancellation requests from customers, lienholder, or dealerships while ensuring all required documentation is complete
  • Refund calculation appropriately to include prorated amounts based on time or mileage elapsed ensuring accurate financial payouts
  • Document Management to maintain precise records of canceled contracts to ensure compliance with state and federal regulations
  • Communicate with Finance Managers, customers, and insurance providers to resolve discrepancies in contract terms or refund amounts
  • Posts statements and cleans schedules on a monthly basis
  • Processes refunds for Service and Gap policies at the request of banks, credit unions, customers, and vehicle manufacturers
  • Works with customers, controllers, and F&I Managers to ensure cancellations are processed correctly, and in a timely manner
  • Works with the different warranty companies to ensure that our policies are being billed, canceled, and processed correctly
  • Processes any outside sales of extended warranties that may be purchased, and codes any checks that may be received to pay for these products

QUALIFICATIONS
  • High school diploma or GED required; some post-high school education or training preferred
  • Two years relevant experience required
  • Knowledge of automotive servicing or repair highly desired
  • Excellent computer and Microsoft Office skills
  • Excellent communication skills, verbal and written
  • Excellent math skills, including basic computations (add, subtract, multiply, divide) and the ability to apply concepts of basic algebra and geometry
