Role Summary:


The Project Coordinator, Integration is responsible for providing administrative and logistical support to ensure the smooth execution of Integration projects. This role is integral in coordinating labor, travel, documentation, and financial processes, and serves as a liaison between the project management, sales, and accounting teams. The Project Coordinator helps manage the flow of information, organizes project records, and ensures timelines and deliverables stay on track throughout the event lifecycle.

Key Responsibilities:

  • Understand the short-term and long-term goals of a project in order to execute specific stages of the project plan, such as: Kickoff scheduling, kickoff meeting facilitation, equipment management and project closing
  • Work with team leads to assign project resources and manage necessary tasks in Q360
  • Schedule and lead internal project kickoff meetings to review client expectations, identify project responsibilities & requirements, determine actions items and manage project equipment ordering
  • Ensure Wrike and Q360 are up to date with necessary information for proper forecasting and reporting
  • Equipment management, including but not limited to, ordering, tracking, risk mitigation, and handling of damaged/returned equipment
  • Schedule and facilitate weekly production meetings with Project Manager(s) to review status, risks, issues and mitigation plans
  • Manage and create necessary installation documentation for the project folder
  • Manage per diem for project installation when required
  • Perform project closing audits
  • Analyze risks and opportunities to drive the success of projects
  • Other duties as assigned
