Office Manager – Audi

We are seeking an experienced, detail-oriented Office Manager to lead our dealership accounting and administrative functions while supporting compliance, financial controls, and team development.

Position Summary

The Office Manager is responsible for overseeing all dealership accounting and administrative operations, ensuring compliance with manufacturer requirements, company policies, state regulations, and accounting best practices. The ideal candidate will possess strong leadership skills, extensive dealership accounting experience, and the ability to manage multiple priorities while maintaining exceptional attention to detail.

Responsibilities
  • Oversee daily dealership accounting operations, including:
    • Accounts Payable
    • Accounts Receivable
    • Contracts Processing
    • Vehicle Inventory Accounting
    • Bank Reconciliations
    • General Ledger Maintenance
    • Payroll Coordination
    • Month-End Closing Procedures
  • Ensure timely and accurate financial reporting.
  • Maintain compliance with Audi, DMV, lender, and regulatory requirements.
  • Monitor schedules and reconciliations to ensure accuracy and timely resolution of discrepancies.
  • Review and approve accounting transactions and journal entries.
  • Manage office personnel, including accounting clerks, title clerks, contract processors, and administrative staff.
  • Partner with dealership leadership to analyze financial performance and identify opportunities for operational improvement.
  • Assist with manufacturer audits, sales tax reporting, and external audits.
  • Maintain strong internal controls and safeguard dealership assets.
  • Support the General Manager and Controller with budgeting, forecasting, and financial analysis.
  • Foster a positive, professional, and team-oriented culture.
Qualifications
  • Minimum 5 years of dealership accounting experience required.
  • Previous Office Manager or Assistant Controller experience preferred.
  • Luxury automotive dealership experience strongly preferred.
  • Strong knowledge of dealership accounting practices and financial statements.
  • Experience with CDK Drive or similar dealership management systems.
  • Comprehensive understanding of DMV regulations, contracts, funding, and title processing.
  • Proficiency in Microsoft Excel and financial reporting tools.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong leadership and team development abilities.
  • Ability to maintain confidentiality and handle sensitive financial information.
