Job description

Busy OB/GYN office looking to hire a friendly medical receptionist to join our team. 36-hour work week ( We close at 1 pm on Fridays.)
JOB REQUIREMENTS:
  • Must be dependable, courteous, have the ability to multitask, and work independently.
  • 2 years of experience at a healthcare facility in a medical receptionist role (essential).
  • Working knowledge of medical terminology, HIPAA regulations, ICD, and CPT coding (highly advantageous).
  • Innovative thinker with strong conceptual and problem-solving skills.
  • Meticulous attention to detail with the ability to multitask.
  • Strong organizational, administrative, and planning skills.
  • Ability to work under pressure and react effectively to emergency situations.
  • Ability to use discretion while working with sensitive information.
  • Excellent documentation, communication, and IT skills.
  • Passionate about healthcare excellence.
  • High School Diploma or Equivalent.
  • Must have good written and oral communication skills, and knowledge of correct grammar, spelling, and office etiquette.
  • Perform all duties within HIPAA regulations.
  • Maintain confidentiality of all doctors, staff, and patients.
  • Athena EHR or OB/GYN experience is a plus.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Answers multi-line phone system in a courteous, professional, and expedient manner.
  • Verify/update all demographic information.
  • Courteously and efficiently interviews patients and schedules appointments for all providers, and creates a scheduled encounter associated with each patient appointment following the template approved by each provider.
  • Ensure proper payment for services is obtained through the identification of insurance plan information.
  • Takes and relays messages in an accurate and timely manner.
  • Reacts to emergency and urgent calls from patients in a timely manner.
  • Able to manage the workflow of the department/location assigned.
  • Acts as liaison between physician’s office/patient/ insurance company.
  • Prepares and processes all referral paperwork.
  • To complete referrals, gather pertinent information from physicians, nurse practitioners, and nursing staff.
  • Contacts various offices/facilities to obtain the necessary information for completing referrals.
  • Maintains referral records and files documentation.
  • Responds to patient inquiries regarding referrals. 
  • Process incoming and outgoing medical records requests while operating within HIPAA regulations
  • Check patients out and schedule follow-up appointments.
  • Performs clerical duties as assigned to maintain workflow in the department.
  • Scan necessary documents into EMR.
  • Follow all office protocols.
  • Assist trainers in training new hires.
  • Keep the front desk and surrounding areas well-organized and clean.
  • Ensures patient flow is maintained and immediately informs the supervisor of any department and patient issues.
  • Assists in other areas within the office and accepts such other duties as may be required when necessary.
This is a fast-paced position that can get stressful at times. The ability to multi-task and work well under pressure while maintaining excellent customer service is a must.
