Position Purpose

The Administrative Assistant, Standards Development, provides administrative and operational support for ASTM Technical Committees, with a focus on coordinating committee activities, supporting member engagement, , and facilitating standards development processes, including electronic balloting.

Organization Role

This mid-level administrative position reports to a Director of Standards Development and supports multiple staff managers. The role operates within a team-based environment, interacting regularly with committee officers, members, and internal stakeholders.

The position requires the application of discretion, sound judgment, and the ability to manage multiple priorities while following established procedures. This is an individual contributor role with no direct supervisory responsibilities.

Key Responsibilities

Technical Committee Operations Support

  • Coordinate administrative support for 4โ€“5 staff managers and their assigned committees
  • Coordinate and distribute committee and subcommittee materials, including agendas, minutes, and ballots
  • Prepare and manage ballots, including deadline dates, ensuring compliance with ASTM requirements and established procedures
  • Develop and maintain meeting schedules and related reports
  • Serve as a point of contact for committee officers and members, responding to inquiries and processing requests related to membership, meetings, and standards
  • Maintain and update documentation, including bylaws, committee reports, and standards records

Committee Meetings & Member Support

  • Travel to Committee Weeks and select meetings to provide on-site administrative support
  • Respond to non-technical inquiries from members and stakeholders
  • Coordinate responses to inquiries received via phone, email, and written correspondence

Collaboration & Team Contribution

  • Collaborate effectively with team members to support departmental goals
  • Participate in cross-functional initiatives and task groups
  • Share knowledge and provide support to colleagues as needed

Minimum Requirements

  • High School diploma with 2-3 years of administrative or office support experience.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organizational, communication, and interpersonal skills
  • Ability to travel up to 5% for meetings and events (less than 5%).

Preferred Qualifications & Competencies

  • Associateโ€™s degree or higher
  • Experience coordinating workflows, projects, or administrative processes across multiple stakeholders
  • Familiarity with document management systems, electronic balloting platforms, or workflow tools (e.g., MCS, DMS)
