Position Summary
The Billing Specialist is responsible for processing invoices, responding to invoice queries, managing billing corrections and completing billing related special projects.
Responsibilities
  • Provides project accounting support services from initial project setup to executing client invoices
  • Maintains executed contracts, signed proposals, purchase orders and change orders
  • Interfaces with project managers and clients regarding contracts, monthly billings, payments, and other project-related financial processes and reports
  • Reviews, processes and accounts for a large volume of project-related invoices for billing preparation and execution, ensuring contractual compliance, accurate project setup and timely invoicing
  • Contacts clients for collection of payment as needed
  • Researches and resolves invoice-related issues with both project managers and clients
  • Performs other duties as requested

Qualifications
  • Associate degree in Accounting or a related field; equivalent experience considered
  • Understanding of bookkeeping procedures
  • Ability to communicate with project managers and clients via both phone and email
  • Experience with Deltek Vision/Vantagepoint is a plus, but not required
  • Excellent written and verbal communication skills; Strong attention to detail with excellent analytical, multitasking, and judgment capabilities
  • Ability to effectively work independently and in a team environment

Knowledge, Skills, & Abilities
  • Must be well organized with a high level of attention to detail
  • Self-starter with excellent communication and interpersonal skills with a polished and professional presence
  • Ability to handle multiple priorities, meet deadlines, and have great follow-up skills
  • Ability to work independently and collaboratively as part of the Billing team
  • Excellent customer service skills required
  • Experience working with contracts/proposals relating to professional services preferred
  • Complete discretion required to handle confidential and sensitive information
