Position Summary

The Scheduler and Front Desk Associate supports a service repair company that maintains and repairs fitness equipment for gyms, studios, and other commercial and residential customers.

This role is responsible for scheduling service appointments, creating service proposals, monitoring incoming calls, and helping ensure that technicians and customers stay informed throughout the service process.

Key Responsibilities

· Answer and monitor all incoming calls in a professional and timely manner.

· Schedule, confirm, and reschedule service appointments for field technicians.

· Create and send service proposals and estimates based on service needs.

· Gather customer information, service details, and equipment concerns accurately.

· Maintain organized service records, appointment notes, and customer communication logs.

· Communicate schedule changes, appointment updates, and service status to customers and internal staff.

· Coordinate with technicians and management to prioritize urgent service calls.

· Provide general administrative support related to service operations.

Qualifications

· Previous scheduling or appointment-coordination experience required. Medical office scheduling experience strongly preferred.

· Strong phone etiquette and customer service skills.

· Excellent organizational skills and attention to detail.

· Ability to manage multiple priorities in a fast-paced environment.

· Strong written and verbal communication skills.
