Short Description

As a Sales & Operations Coordinator, you help keep our business running smoothly every day. You support customers, sales, operations, finance and administration by making sure information is accurate, orders are processed correctly, invoices are issued on time and records are well organized. This role is ideal for someone who enjoys working with people, staying organized, solving problems and helping different teams work together.

The position is based in Houston, Texas and reports directly to the Country Manager.


Your Role with us

Customer Experience Champion: You help provide an excellent customer experience by ensuring customer information, orders, registrations, invoices and related documents are accurate and processed on time.


Order & Delivery Coordinator: You support the administrative side of the sales process and help ensure customer orders move smoothly from order entry through delivery.


Business Connector: You support invoicing, accounts payable, accounts receivable, payroll administration and general business administration activities.


Connection Builder: You work closely with Sales, Operations, Service, Logistics, Finance, HR, customers and external partners to keep information flowing and help solve day to day administrative challenges.



REsponsibilities

  • Sales & Order Administration
    • Support customer order administration
    • Keep order information accurate, complete and up to date
    • Follow up on missing information when needed
    • Support smooth communication between departments involved in the order process


  • Customer & Vendor Data
    • Maintain customer and vendor information in the ERP system
    • Ensure names, addresses, payment terms, tax information and contact details are accurate and up to date
    • Maintain high data quality across business records


  • Vehicle Registration Administration
    • Prepare and process vehicle registration documents and ensure registration requirements are completed on time
    • Coordinate registration activities with customers, internal teams and external partners


  • Invoicing, Accounts Receivable & Accounts Payable
    • Prepare and process customer invoices
    • Verify invoice information against orders, delivery documents and commercial agreements
    • Manage accounts receivable documentation and payment records
    • Process vendor invoices and prepare payments for approval by the Country Manager
    • Maintain accurate financial records and supporting documentation


  • Employee & Payroll Administration Support
    • Support basic employee administration activities
    • Collect and prepare employee information, time records, payroll inputs and related documents


  • Documentation & Record Management
    • Maintain organized and accessible business records
    • Ensure sales, operations, finance, registration, payroll and employee documents are properly filed.
    • Support audit and compliance requirements through accurate documentation


  • Internal Coordination
    • Work closely with Sales, Operations, Service, Logistics, Finance and HR
    • Follow up on missing information and open tasks
    • Help remove administrative bottlenecks
    • Support efficient day to day business operations
