Job description

PowerLink Technologies is looking for a detail-oriented and proactive Administrative Assistant to support our Project Managers and Service Managers. This role is central to keeping field and service operations running smoothly, ensuring project documentation stays accurate and deadlines are met. You will serve as a key coordination point across multiple teams, helping track project tasks, work orders, and service tickets while producing clear, organized reports and records.


Key Responsibilities


Project & Field Support

• Track and update project tasks, work orders, and service tickets; follow up with team members to ensure timely completion

• Maintain and update project schedules, flagging delays or conflicts to the Project Manager

• Coordinate between field crews, subcontractors, and internal departments to keep information flowing accurately

• Assist with job closeout procedures, including compiling project documentation and obtaining required sign-offs

• Support project kickoff activities by organizing files and preparing materials for the team


Documentation & Reporting

• Prepare, format, and distribute reports, meeting minutes, and project status updates

• Maintain organized filing systems (digital and physical) for project records, contracts, and correspondence

• Perform data entry and ensure accuracy across project management systems and spreadsheets

• Draft and proofread internal and external communications on behalf of managers

• Compile materials for management reviews, client meetings, and regulatory submittals


General Administrative Support

• Manage calendars, schedule meetings, and coordinate logistics for Project Managers and Service Managers

• Order and track office and project supplies as needed

• Handle incoming calls, emails, and routing of correspondence as directed

• Provide backup administrative support to other departments during peak periods


Qualifications


Required

• 2+ years of administrative or office support experience

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)

• Strong organizational skills with the ability to manage multiple priorities simultaneously

• Excellent written and verbal communication skills

• Ability to work independently and take initiative with minimal supervision


Preferred

• Experience supporting project management or field service teams in a construction, utilities, or technical services environment

• Familiarity with project management or service software (e.g., Procore, ServiceMax, or similar)

• Experience with work order and service ticket tracking systems

• Associate degree or higher in Business Administration or a related field
