The Medical Office Coordinator plays a central role in the daily success of the practice. As the first voice patients hear and the first face they see when they arrive, this position helps create a welcoming and efficient experience for patients while supporting providers and ensuring the clinic runs smoothly.

Position Details:
  • Medical Office Coordinator
  • $21.35 – $23.85 per hour
  • Part-time, approximately 20 hours per week, in two 10 hour shifts, scheduled during weekday clinic hours.                
  • As the clinic grows, there may also be occasional Saturday shifts available, with scheduled hours approximating 30 hours per week, in alternating 10 hour shifts. 
  • Albany, Oregon
  • Daytime Clinic Hours, approximately 8:15am-6:15pm, Tuesdays and Thursdays.

Who We Are:
Mid-Valley Chiropractic Allied Health Sciences is a patient-centered chiropractic clinic focused on evidence-informed care, operational excellence, and a supportive team environment.
Role Requirements:
  • Support daily front-office operations and help maintain smooth patient flow throughout the clinic. 
  • Manage front office scheduling, patient communications, authorizations, and appointment coordination.
  • Monitor billing, collections, and financial processes to maintain accuracy.
  • Follow and help maintain office policies, procedures, and systems that support smooth clinic operations. 
  • Work to achieve a full provider schedule by verifying benefits, tracking cancellations and filling openings with wait-listed patients.
  • Accurately input patient demographic, insurance, and appointment information into the electronic medical record (EMR).
  • Ensure compliance with healthcare regulations and patient confidentiality standards.
  • Support marketing, community outreach, and patient engagement initiatives.
  • Foster a professional, positive, and caring environment for staff and patients alike.
  • Keep front office and common area clean and tidy, including routine cleaning (folding laundry, taking out trash, keeping bathrooms tidy) and equipment cleaning.
  • Assist with social media tasks.
This role has the potential to grow into expanded administrative or office management responsibilities as the clinic continues to grow, and to act as a bridge track to an office management role.

  • Experience verifying and processing health insurance benefits.
  • Demonstrated reliability and punctuality in previous roles requiring scheduled shifts. 
  • Excellent multitasking and problem-solving abilities.
  • Highly independent and proactive; able to identify and resolve issues without direction.
  • Strong scheduling experience.
  • Strong leadership skills.
  • Detail-oriented with excellent organizational skill.
  • Proficiency with EMR systems / Computer Literacy.
  • Knowledge of medical insurance and terminology.
  • Friendly and welcoming demeanor, contributing to a positive, professional environment.

Minimum Qualifications:
  • Associate’s or Bachelor's degree or 3 - 5 years’ leadership experience (in a professional office, hospitality, retail, banking, medical, etc.).
  • Experience working in a fast-paced and customer-centric environment.
  • Ability to analyze processes and information, identify problems and trends, and develop effective solutions and strategies.
  • Excellent communication, leadership, coaching, and conflict resolution skills.
  • Trustworthy; maintain patient confidentiality and team ethics.
