Job description

Surgical Scheduler

To be fully engaged in providing Quality/No Harm, Customer Experience, and Stewardship by: providing exceptional administrative support to the assigned department, providers and patients. The Surgical Scheduler must schedule office based and hospital procedures consistent with the patient's diagnosis and procedure request. Also requires excellent customer service skills in interfacing with internal and external customers. The Surgical Scheduler must be able to respond to both written and oral correspondence regarding appointments, cancellations, and delays.

Primary Responsibilities

Quality/No Harm:

  • Schedule pre-operative and post-operative appointments.
  • Within scope of practice, may order appropriate pre-operative labs and required testing entering into the Electronic Medical Record.
  • Schedule surgical procedures at multiple ORs.
  • Coordinate surgical assistance and arranges for surgical equipment representatives to be available and present for procedures.
  • Ensure that H & Ps (history & physical exams) are sent to appropriate facility.
  • Update physician calendars with surgical schedule as changes are required.
  • Order/schedule diagnostic testing as appropriate and enter into EMR.
  • Ensure pre-operative clearance is obtained.
  • Complete disability paperwork for surgical patients.
  • Enters surgical charges into financial system for accurate invoicing.

Stewardship:

  • Greets patients in the ambulatory setting, ensuring a positive customer experience.
  • Answers multi-line telephones handling both internal and external calls. Responds to phone messages within the HFMG standard return call period.
  • Answer or triage patient questions associated with the surgery schedule, procedures, preparation or after-care.
  • Make outward-bound call to patients having outpatient procedures, the day after surgery to check on their status and to answer any questions.

Customer Experience:

  • Communicate with physician office/registration staff regarding documentation concerns related to medical necessity/post discharge queries as necessary to clarify documentation/coding related issues.
  • Respond and relay documentation/coding issues/concerns from and to Health First departments and physician's offices.

Work Experience

  • Minimum three (3) years' experience in ambulatory healthcare environment performing administrative duties.
  • Knowledge of medical terminology.
  • Knowledge of CPT and ICD-10 codes

Preferred Qualifications:

  • Certification: Certified Medical Assistant/Registered Medical Assistant.
  • One (1) year experience in a surgery scheduling role.

Mental Demands:

  • Requires decisive judgment and the ability to work with minimal supervision.
  • Requires the ability to use critical thinking skills and formulate logical decisions to apply clinical coding guidelines to health record documentation.
  • Ability to read and comprehend instructions, correspondence, memos, and electronic mail (English).
  • Must be detail and accuracy oriented.
