Associate Otc information

What are the key skills and qualifications needed to thrive as an associate OTC?

To thrive as an Associate OTC (Order-to-Cash), you need a solid understanding of financial processes, order management, and basic accounting principles, often supported by a relevant bachelor’s degree. Familiarity with ERP systems like SAP, order processing software, and proficiency in Microsoft Excel are typically required. Attention to detail, problem-solving abilities, and strong communication skills help you excel in this client-facing, transaction-heavy role. These competencies ensure accurate order fulfillment, timely revenue collection, and positive client relationships, which are critical to business success.

What are some common challenges faced by an associate OTC and how can they be effectively managed?

As an Associate OTC (Order to Cash), you may encounter challenges such as managing high volumes of transactions, ensuring timely order processing, and resolving discrepancies between orders, invoices, and payments. Effective communication with both internal teams (like sales and logistics) and external clients is essential to quickly address issues and maintain accuracy. Leveraging ERP systems, staying organized, and proactively following up on outstanding items can help manage these challenges and ensure smooth order-to-cash cycles.

What is an associate OTC?

Associate OTC (Order to Cash) roles are entry-level positions within the Order to Cash process, which is a key function in finance and accounting. Individuals in these roles are responsible for tasks such as processing customer orders, invoicing, managing receivables, and resolving payment issues. They support the end-to-end process of ensuring that goods or services delivered by a company are billed and paid for efficiently. Associate OTC professionals often work closely with sales, customer service, and finance teams to ensure accurate and timely revenue collection.

Position Purpose

The Front-End Manager oversees daily front-end operations across the pharmacy, including product ordering, merchandising, and stock management for Over-the-Counter (OTC) items, Durable Medical Equipment (DME), and Fitzy’s Café. This role ensures visual standards, high customer service, and stock availability across assigned pharmacy locations, requiring routine travel between stores.

Key Responsibilities

1. Customer Service & Community Engagement

  • Deliver and enforce prompt, friendly, and courteous customer service standards.
  • Greet customers, address specialized product inquiries, and resolve complaints with diplomacy and efficiency.
  • Foster a welcoming, inclusive environment for all patients and store patrons.

2. Inventory, Merchandising & Vendor Management

  • Manage stock levels, cycle counts, and purchasing for OTC, DME, café supplies, and general merchandise.
  • Conduct regular visits to partner/sister pharmacy locations to ensure full OTC stock, proper rotation, and neat presentations.
  • Monitor product expiration dates and manage vendor relationships, deliveries, and returns.
  • Execute promotional displays, endcaps, and planograms to maximize sales.

3. Café & Specialty Operations

  • Oversee day-to-day operations at Fitzy’s Café, ensuring product freshness, quality, and menu compliance as needed.
  • Enforce strict health department, sanitation, and food safety standards for café prep and seating areas.

4. Operations & Loss Prevention

  • Oversee store opening and closing procedures, security protocols, and floor organization.
  • Implement loss prevention strategies to minimize inventory shrinkage and administrative errors.

5. Leadership & Team Development

  • Supervise, train, and mentor front-end cashiers and café personnel.
  • Create weekly work schedules, delegate daily tasks, and step in to cover shifts as needed.
  • Conduct performance reviews, deliver constructive feedback, and drive team morale.

6. Administration & Compliance

  • Track department expenses, monitor sales targets, and assist with basic bookkeeping.
  • Ensure front-end compliance with company policies, labor laws, HIPAA, OSHA, and DME regulatory guidelines.

Qualifications

  • Education: High School diploma or equivalent required; Bachelor’s or Associate’s degree in Business Administration or related field preferred.
  • Experience: 2–3+ years of retail, pharmacy front-end, or customer service management experience. Experience with food service or café operations is a strong plus.
  • Travel: Valid driver’s license and reliable transportation for travel between store locations.
  • Technical Skills: Proficiency in point-of-sale (POS) systems, basic bookkeeping, and Microsoft Office (Word, Excel).
  • Soft Skills: Exceptional leadership, conflict resolution, multi-tasking, and time-management abilities.
