In this role, you'll assist with day-to-day operations, including preparing meeting materials, supporting adjunct instructors, coordinating textbook orders, and ensuring smooth departmental communication.

JOB SUMMARY:
Under direct supervision, of the Dean, this position provides clerical assistance to the assigned Department Chair(s) for the College. Duties include disseminating information to departmental employees as assigned by the Department Chair(s); assisting Department Chair(s) in performing tasks; and providing general clerical support.
SPECIFIC DUTIES AND RESPONSIBILITIES:
  • Submits departmental meeting agendas and summaries to Department Chair(s).
  • Orders supplies and equipment for the Department Chairs as requested; initiates requisitions.
  • Assists the Department Chairs in preparing new and returning Adjunct Instructors with syllabi, textbooks, software, and systems as requested.
  • Assists the Department Chairs in the coordination and ordering of textbooks.
  • Assists the Department Chairs in the coordination of Advisory Committees.
  • Files, copies, types, and completes data entry for Department Chairs as requested.
  • Answers telephones.
  • Completes all other duties and responsibilities as assigned.

QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
  • Associate degree; two (2) years of related work experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Office Administrations Certificate from Indian River State College desired.
  • Knowledge of basic office functions and equipment.
  • Knowledge of telephone etiquette.
  • Skill in organizing, typing, word processing, data entry, filing, scheduling, and managing time.
  • Skill in delivering customer service.
  • Skill in working with Microsoft Office and Windows based applications.
  • Ability to be accurate and detailed oriented, flexible, use good judgement, multi-task, be people oriented, handle varying deadlines, be self-motivated, interact with the public, and work independently as well as with others.

PHYSICAL DEMANDS:
This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.
