Job description

VZ Law is hiring a full-time Operations Manager with at least 4 years of Office Management or Operations experience to oversee the day-to-day operations of our growing law firm.
The Operations Manager ensures firm operations run efficiently, staff are supported and clients receive exceptional service. This position is responsible for firm operations and administration, human resources and financial oversight. The ideal candidate is a strong communicator, highly organized, solutions-oriented and capable of managing multiple priorities in a fast-paced legal environment.
This is an onsite position that reports to our office in Downtown Long Beach. Occasional travel to our Downey location will be required on an as-needed basis.

Essential Position Responsibilities

Financial Oversight

  • Manage day-to-day bookkeeping, including accounts payable, accounts receivable and expense tracking.
  • Monitor billing operations and collections coordination.
  • Review and process payroll.
  • Work with the firm's CPAs and accountants to provide accurate information for tax filings and financial reporting.

Firm Operations and Administration

  • Manage the day-to-day operations of the firm across 3 Southern California locations.
  • Create and implement office policies and procedures to improve efficiency.
  • Coordinate with attorneys to ensure cases and projects move efficiently through the firm.
  • Oversee vendor relationships, office supplies, facilities and equipment management.
  • Manage legal software platforms and assist with technology implementation and troubleshooting.
  • Coordinate internal meetings and firm events.

Human Resources

  • Assist department supervisors with employee management.
  • Support the firm's recruitment efforts, including interviewing, candidate selection and onboarding.
  • Conduct new employee orientation and training.
  • Administer human resources policies and procedures and maintain compliance with applicable employment regulations.

Qualifications

  • At least 4 years of office management or operations experience. Law firm experience strongly preferred.
  • A bachelor’s degree in a related field and/or equivalent work experience required. A bachelor’s degree is preferred.
  • Good working knowledge of California employment laws and the ability to interpret them.
  • Strong leadership skills and experience supervising employees.
  • Strong interpersonal, written and verbal communication skills.
  • Excellent organizational, time management skills and the ability to manage multiple priorities and deadlines simultaneously.
  • Strong attention to detail and follow-through.
  • Integrity and the ability to keep information confidential.
  • Proficiency in Microsoft Office and cloud-based systems.
  • Familiarity with legal practice management platforms such as Clio preferred.
