Job description

SUMMARY:

Join a team that supports premier events at large venues across the United States through professional golf cart rental services. As a member of SMI Properties, a subsidiary of Speedway Motorsports, LLC, the Event Services Coordinator plays a key role in delivering an exceptional customer experience.

Serving as a primary point of contact for customers, this position coordinates reservations, customer communication, order details, and required documentation to ensure customers are prepared for successful events. The ideal candidate is organized, detail-oriented, and naturally thinks ahead. They enjoy solving problems, balancing multiple priorities, and understand that careful attention to detail plays a critical role in delivering exceptional customer service and supporting successful events.

JOB DUTIES:

Customer & Event Services

  • Serve as a primary point of contact for customers, guiding them through the reservation and ordering process while delivering exceptional service.
  • Coordinate customer requests and communicate event-specific information with Event Leads and Operations team. 
  • Ensure reservations, customer documentation, and order details are complete and accurate prior to each event. 
  • Build positive customer relationships by providing timely communication and resolving questions in collaboration with internal departments. 

Event Administration

  • Process customer reservations and orders.
  • Review and maintain customer documentation, including Certificates of Insurance and account information. 
  • Create and process purchase orders.
  • Maintain accurate customer, vendor, inventory, and operational records.

Operational Support

  • Assist with inventory cycle counts and inventory preparation. 
  • Support departmental initiatives and continuous process improvements. 
  • Maintain databases and other departmental records. 


QUALIFICATIONS: 

Required Qualifications

  • Associate degree or equivalent work experience preferred. 
  • Two or more years of experience in event coordination, client services, project coordination, rental operations, sports or motorsports operations, or a similar customer-focused role. 
  • Excellent organizational and time management skills with the ability to manage multiple priorities. 
  • Strong written and verbal communication skills. 
  • Exceptional attention to detail with the ability to think critically, recognize potential issues, and exercise sound judgment.
  • Ability to work independently while collaborating effectively with cross-functional teams. 
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word. 

Preferred Qualifications

  • Experience supporting sports, motorsports, or event-based operations. 
  • Experience managing multiple priorities in a fast-paced environment.
  • Experience with reservation, CRM, or event management software. 
  • A passion for delivering exceptional customer service.
