ABOUT THE OPPORTUNITY

Since 1988, WJ Weiser & Associates has provided comprehensive association management services to leading national and international healthcare-related professional associations and academic institutions. We are seeking an Associate Director to help implement the strategic goals of assigned client organizations while providing day-to-day operational leadership and exceptional client service.

This role is well suited for a self-directed association professional who can independently manage multiple priorities, communicate confidently with volunteer leaders, and carry projects from planning through completion.

KEY RESPONSIBILITIES

• Serve as the primary staff liaison for assigned clients and support Boards of Directors, Executive Committees, and Committees, other volunteer leaders in implementing strategic priorities, policies, and initiatives.

• Provide day-to-day operational management, establish project plans and timelines, monitor deliverables. Attend committee and board meetings and ensure action items from Board and committee meetings are completed.

• Prepare Board and committee agendas, meeting materials, reports, minutes follow-up, and other governance communications; keep client leadership informed of organizational priorities, risks, and opportunities.

• Work with the internal accounting team and client leadership to develop and monitor annual operating and meeting budgets, review financial activity, and support responsible resource planning.

• Support Education and Program Committees in the development and implementation of continuing medical education activities and other professional programs.

• Collaborate with the CME department to collect disclosures, maintain required documentation, and support compliance with ACCME requirements and organizational policies.

• Manage educational program workflows, including calls for abstracts, faculty invitations and correspondence, acceptance and decline tracking, program summaries, conference materials, marketing coordination, and participant and faculty evaluations.

• Analyze and summarize program, survey, and operational data to support client reporting and continuous improvement.

• Represent WJ Weiser & Associates professionally at client Board meetings, conferences, and other assigned events.

• Travel to meetings to provide onsite registration, education, governance, and staff support; perform other duties as assigned based on client and business needs.

QUALIFICATIONS

• Bachelor’s degree in a related field; equivalent relevant experience may be considered.

• Three to five years of experience in association, nonprofit, professional society, or related client-service management; medical specialty society experience is preferred.

• Demonstrated ability to work independently, exercise sound judgment, take initiative, solve problems, and follow through without close day-to-day supervision.

• Working knowledge of basic budgeting and financial management, including the ability to help develop budgets, monitor revenue and expenses, and review routine financial reports.

• Strong project-management, organizational, and time-management skills, with the ability to manage multiple deadlines and priorities in a fast-paced environment.

• Executive presence and strong written, verbal, interpersonal, facilitation, and presentation skills.

• Proficiency with Microsoft Office/Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams; ability to learn association management, project management, meeting, and collaboration platforms.

• Ability to use artificial intelligence tools responsibly to support research, drafting, summarization, analysis, and workflow efficiency while protecting confidential information and complying with company and client policies.

• Ability to collaborate effectively in a remote environment, remain responsive during established business hours, participate actively in virtual meetings, and maintain a professional and reliable workspace and internet connection.

• Ability to travel approximately 20–25%, including occasional evenings or weekends, and to work onsite in Schaumburg or at client meetings when business needs require.

WORK ARRANGEMENT

This position may be performed remotely. The Associate Director must maintain consistent availability during established business hours, collaborate effectively with colleagues and client leaders across locations, and travel to the Schaumburg office, client meetings, and conferences as needed.
