Position Title: Inside Sales Coordinator

Reports to: General Manager

Classification: Hourly

Department: Sales

The successful candidate will be someone who is driven by relationships and a flawless process. Our Sales Coordinators are driving the sales process behind the scenes and building relationships by being just a phone call away to those customers they support. If multi-tasking is a strength, the candidate will be in a position to utilize that skill. In order to ensure flawless customer service, the successful candidate will recognize time is money in the construction and sales business, and be able to prevent issues from impacting the customer. Most importantly, the Sales Coordinator must recognize repeat business depends on successful execution of their position.

Purpose of Position: Assists in all areas of insides and outside sale transactions, providing support to both the outside sales staff and the inside sales associates; key function involves generating sales orders and special orders.

Essential Functions: (must be able to perform these functions, with or without reasonable accommodation).

  • Accept orders from either the outside sales staff or customers, whether in person or over the telephone.
  • Input quotes, estimates, and orders into the company computer system.
  • Schedule the delivery of customer orders when needed.
  • Verify merchandise on-hand quantities with required ship dates, notifying the Store Manager of any inventory needs.
  • Maintain customer files, including quotes, estimates, invoices, take-down lists, deliveries, special orders, and any other relevant information.
  • Ensure that customer credits are processed accurately.
  • Serve as a primary contact between the customer and Outside Salesperson, keeping both advised on inventory status and pricing.
  • Communicate between the customer, Outside Salesperson, and Store Manager to resolve problems or complete customer service requirements.
  • Handle special orders using company policy, including contacting the vendor to quote and order merchandise, verifying that customer has signed the confirmation, critiquing the acknowledgement from vendor, and inputting the special order in the computer system.
  • Coordinate with the Receiving Associate for the shipment of received special order merchandise.
  • Answer telephone inquiries pleasantly and promptly.
  • Assist in covering the Inside Sales counter by performing any responsibilities of a Sales Counter Associate.
  • Assist in maintaining a clean store environment.
  • Attends staff, departmental meetings, and safety and health training, as required, on time.
  • Works when scheduled and complies with company attendance policy.
  • Observes and practices all safety procedures and policies.
  • Participates in and demonstrates an understanding of safety principles and practices; follows all safety policies procedures (e.g., safety glasses, earplugs, face shields, etc.) to support a safe working environment, including safe operation of machines and equipment.
  • Other duties as assigned.

Skills, Knowledge, and Abilities: (Duties that are likely to be assigned to this person unless they prove unable to perform them after receiving training and/or accommodations that the company judges appropriate).

  • Must possess excellent communication skills, both verbal and written.
  • Must possess good organizational skills and the ability to multitask.
  • Must have excellent phone and cold calling skills.

  • Knowledge and ability to use safe lifting techniques
  • Must be able to work in a fast-paced team environment, as well as work alone.
  • Must be able to read, write and communicate in English effectively.
  • Must be able to comply with OSHA requirements and standards to wear all applicable PPE properly.

Experience and Education Requirements:

  • High school diploma or GED equivalent preferred. One year of related experience and/or training; or equivalent combination of education and experience. Must pass a background check and Non-DOT drug test.

Physical Demands

  • Must be able to lift, carry, push, and pull, maximum lift 25lbs.
  • Must be able to see within normal range of vision with or without corrective lenses.
  • Must be able to use hands, wrists, and fingers repetitively.
  • Must have exceptional eye-hand coordination.
  • Must regularly be able to reach overhead.
  • Must regularly be able to sit, squat, bend, twist, and stand.
  • Must be able to walk around regularly using steps occasionally.
