Responsibilities
This position serves as a vital operational and administrative liaison within the Commercial Banking division. The role is responsible for ensuring the accurate, timely, and compliant execution of all phases of the commercial loan documentation and closing process. The Coordinator partners closely with Commercial Bankers, Loan Operations, Legal Counsel, and external stakeholders to drive exceptional client service, mitigate risk, and uphold operational efficiency.
Key Responsibilities:
  • Act as a lead coordinator for commercial loan closings by preparing, reviewing, and validating closing documentation packages to ensure all compliance and policy requirements are satisfied.
  • Serve as a documentation liaison between Commercial Banking Officers and Loan Operations, ensuring seamless post-closing follow-up and resolution of outstanding conditions or documentation gaps.
  • Develop internal and external communications including board-level memoranda, legal correspondence, and customer-facing letters.
  • Maintain sensitive financial records and client files in compliance with data governance and bank confidentiality standards using enterprise document management systems.
  • Analyze, prepare, and distribute complex reports for executive review, including materials for internal audit and Board of Director review.
  • Support commercial customers with high-touch service regarding loan inquiries, transaction execution, and account maintenance.
  • Manage ledger entries and ensure accurate processing of commercial loan transactions, including payments, deposits, and internal transfers.
  • Provide operational support to department leadership through special projects, process enhancements, meeting coordination, and strategic initiatives.
  • Maintain proficient knowledge of, and demonstrate ongoing compliance with all laws and regulations applicable to this position, ensure ongoing adherence to policies, procedures, and internal controls, and meet all training requirements in a timely manner.

By ensuring timely execution and document integrity, the Coordinator helps reduce risk exposure, improve client satisfaction, and support strategic banking objectives.

Qualifications
Education/Training:
  • Associate's degree in Business, Finance, or a related field preferred. High school diploma required with a minimum of one (1) year of specialized post-secondary training or equivalent professional certification.

Core Competencies and Skills:
  • Demonstrated proficiency in Microsoft Office Suite and loan origination/documentation platforms.
  • Strong business writing and professional communication skills, with a proven ability to interact effectively with executive-level clients, attorneys, and cross-functional banking teams.
  • Exceptional organizational and analytical skills; capable of managing complex, multi-step administrative processes independently.
  • Deep understanding of commercial lending forms, documentation standards, regulatory requirements, and transactional workflows.
  • Ability to interpret and apply commercial credit policies and internal procedures.
  • Familiarity with legal administrative support or financial documentation review is a strong asset.

Experience:
  • Minimum of 2 years of experience supporting Commercial and/or Retail Lending Officers, Loan Operations, or legal professionals (e.g., paralegal or administrative legal assistant), preferably within a banking, finance, or legal services environment.
