As a Client Services Associate, you will be the heartbeat of our practice, playing a vital role in ensuring that every person who walks through our doors or calls our office feels genuinely welcomed. Were looking for someone who already knows their way around the financial services world, comfortable with industry processes, compliance basics, and the day-to-day workflows of a wealth management office, so they can hit the ground running as the thread that connects our advisors to our clients.

Responsibilities
  • Manage daily office operations, including scheduling appointments and coordinating client meetings to ensure a seamless client experience.
  • Process new account applications, transfers, and account maintenance requests accurately and in a timely manner, applying a solid understanding of industry compliance requirements. Communicate status to clients.
  • Serve as the primary point of contact for clients, ensuring every interaction is warm, welcoming, and efficient.
  • Maintain accurate client files and documentation while upholding strict confidentiality standards.
  • Prepare meeting materials, reports, and presentations for advisors to ensure they are ready for every client conversation.
  • Coordinate follow-up tasks and administrative actions resulting from advisor-client meetings to keep projects moving forward.
  • Proactively anticipate the needs of both the advisors and our clients to create a seamless service experience.



Requirements
  • Solid working knowledge of financial services industry processes, workflows, and compliance basics.
  • Professional experience in a high-touch administrative or client support capacity, ideally within a financial services or wealth management setting.
  • Advanced proficiency in Google Suite and client relationship management (CRM) software such as Wealthbox, LeadCenter, etc.
  • Familiarity with industry custodian platforms such as Schwab, Altruist, Orion.
  • Exceptional organizational skills with a keen eye for detail and data accuracy.
  • Associate degree or higher, or equivalent combination of relevant work experience.
  • Ability to remain composed and solution-oriented in a busy office environment.
  • Strong written and verbal communication skills with excellent attention to detail.
