What are different types of assistants?

Assistants come in various forms, including executive assistants who support high-level managers, administrative assistants handling office tasks, virtual assistants providing remote support, and specialized assistants such as legal or medical assistants. Each type requires different skills, tools, and sometimes certifications, and they may work in office environments or remotely with flexible schedules.

What can I do as an assistant?

As an assistant, you can perform tasks such as managing schedules, organizing files, handling correspondence, and providing administrative support. The role often requires strong organizational skills, communication abilities, and proficiency with office software. Assistants may work in various settings including offices, healthcare, or legal environments, and some positions require specific certifications or experience.

What is an assistant?

Assistants are professionals who provide administrative, organizational, or personal support to individuals or teams within a company or organization. Their tasks can include managing schedules, handling correspondence, organizing meetings, preparing documents, and performing various clerical duties. Depending on the workplace, assistants may also help with research, travel arrangements, or basic project management. Their role is essential for ensuring that operations run smoothly and efficiently. Assistants often serve as the first point of contact and play a key part in facilitating communication and workflow.

How do assistants typically manage competing priorities and last-minute requests?

Assistants often juggle multiple tasks and must adapt quickly to shifting priorities, especially when supporting busy executives or teams. Effective time management, clear communication, and proactive organization are crucial for handling last-minute requests. Many Assistants rely on digital tools such as calendars, task managers, and communication platforms to stay organized and ensure nothing falls through the cracks. Building strong relationships with colleagues also helps in coordinating tasks and setting realistic expectations when urgent needs arise.

What kind of assistants make the most money?

Executive assistants and specialized assistants, such as legal or medical assistants, tend to earn the highest salaries among assistant roles due to their advanced skills and responsibilities. These positions often require additional certifications, experience, and proficiency with specific tools or software, which can contribute to higher pay.

What are the key skills and qualifications needed to thrive as an assistant, and why are they important?

To thrive as an Assistant, strong organizational abilities, time management, and proficiency in office procedures are essential, typically supported by a high school diploma or associate degree. Familiarity with office software like Microsoft Office Suite, calendar management tools, and basic bookkeeping systems is often required. Excellent communication, discretion, and adaptability are standout soft skills for this role. These competencies ensure efficient support to teams or executives, helping organizations operate smoothly and effectively.

Job description

The Opportunity
We're looking for a detail-oriented, experienced escrow assistant to join our team at our Union Park office. This is a great role for someone with 1-3 years of experience in the title or escrow industry who's ready to sharpen their skills alongside experienced escrow officers and grow within a stable, well-established company. We are also open to hiring qualified candidates who have no experience in our industry. You'll be a key contributor to real estate transactions from opening to closing - keeping things accurate, on time, and running smoothly.
What You'll Do
As an Escrow Assistant, you will assist escrow officers in preparing, managing, and closing real estate transactions from start to finish. You will prepare and review closing documents, settlement statements (HUD/ALTA), and transaction correspondence. You will coordinate with lenders, realtors, and other title companies to balance transactions and ensure accuracy prior to closing. You will assist in clearing title by reviewing title commitments and coordinating the resolution of any title issues that arise. You will disburse and receive funds accurately, verifying all documentation and figures before release. You will coordinate communication between buyers, sellers, realtors, lenders, and other real estate transaction parties through phone and email. You will maintain organized, up-to-date transaction files in SoftPro throughout the closing process and assist with post-closing tasks, including document recording and file reconciliation.
What We Are Looking For
We are seeking an Escrow Assistant with 1 to 3 years of experience in title, escrow, or a closely related real estate field. Hands-on experience with SoftPro is strongly preferred, but we are open to hiring qualified candidates who have no experience in our industry. You should have a solid working knowledge of escrow processes, including settlement statement preparation, funds disbursement, and document recording. Strong attention to detail and the ability to catch and correct discrepancies before they become problems are essential. You should be a confident communicator with clear, professional written and verbal customer service skills for coordinating with clients and real estate partners. The ability to assist with multiple open files simultaneously in a fast-paced, deadline-driven environment is a must. A team-oriented mindset and willingness to coordinate and assist colleagues across the office will set you up for success. A Utah title insurance license or willingness to obtain one is required, and we will support you through that process.
Benefits & Perks
  • Medical, dental, and vision insurance
  • 401(k) retirement plan
  • Life insurance
  • Health Savings Account (HSA) and Flexible Spending Account (FSA)
  • Paid time off
  • Production bonuses tied to team performance
  • Opportunities for growth within Utah's largest independent title company
Why Join Cottonwood Title?
Our people stay with us. The average tenure on our escrow teams reflects a culture where employees feel supported, valued, and set up to succeed. We invest in training, provide strong systems and processes, and give every Escrow Assistant the tools they need to do their job well. You'll work with experienced professionals who take pride in what they do - and who want the people around them to thrive.
About Cottonwood Title

With approximately 125 employees across eight offices, we assist a diverse client base of real estate professionals, including realtors, builders, lenders, commercial developers, and investors.
