Job Summary

The Receptionist/Administrative Assistant will be the first point of contact for clients and visitors within Oldcastle Infrastructure’s corporate office. This role is ideal for someone who is highly punctual, organized, and customer-service oriented This role plays a critical role in ensuring smooth daily operations while maintaining a welcoming and professional atmosphere.

Job Responsibilities 

Front Desk & Reception:

  • Greet and welcome visitors, guests, and vendors
  • Answer the door and ensure proper check-in procedures
  • Provide a warm, professional first impression of the company
  • Assist with general inquiries and direct guests appropriately

Daily Office Operations:

  • Conduct daily walkthroughs to ensure the office is clean, organized, and fully stocked
  • Replenish supplies including coffee items, napkins, cups, mugs, glasses, plates, silverware, etc.
  • Restock printers
  • Identify and report facility issues such as lighting problems, stains, or damaged furniture
  • Reset furniture and tidy common areas

Catering & Meeting Support:

  • Assist with catering for meetings and leadership events
  • Support setup and cleanup of catered meetings
  • Track and submit catering-related expenses

Conference Room Readiness:

  • Restock conference rooms with necessary supplies
  • Maintain cleanliness and organization
  • Assist with ordering conference room supplies

Event Support:

  • Support in-office events by ordering supplies and participating in offsite shopping
  • Assist with event-related expense tracking

Employee Support:

  • Respond to day-to-day employee requests including lunch coordination, shipping needs, and general office support
  • Provide friendly, timely assistance to ensure a positive employee experience

Supply & Inventory Management:

  • Order and maintain inventory of office supplies and sundries
  • Monitor stock levels and proactively reorder as needed

Mail & Package Handling:

  • Distribute incoming mail and packages
  • Ship items via UPS upon request
  • Manage incoming UPS/FedEx deliveries

Job Requirements

  • 2+ years of experience as a receptionist – performing similar duties
  • Exceptional punctuality and reliability
  • Strong multitasking and organizational skills
  • Excellent customer service and communication abilities (in person and by phone)
  • Professional demeanor and appearance
  • Ability to remain calm and efficient in a busy environment
  • Basic computer proficiency and comfort with office systems
  • Willingness to learn and take on additional administrative responsibilities
  • Sitting for extended periods of time.
  • Ability to safely lift up to 25 pounds.
  • Pre-employment background check and drug testing.
  • The position may require work outside of normal business hours in response to critical incidents or business-impacting project deliverables.
