Job Description

JOB SUMMARY: 

This position provides administrative support to the President & CEO, and the COO, CFO and Pinnacle Leadership Team as needed. Responsible for performing diverse administrative duties requiring high-level skills in the performance of administrative support of a complex and confidential nature. This position also serves as the recording Secretary to Pinnacle Living and all affiliates.

WORK PERFORMED:

1.) Responds to inquiries, managing the President and CEO’s email, appointment and meeting schedule, making travel arrangements, composing drafts of all correspondence for signature, drafting responses to letters sent to the President and CEO.

2.) Works directly with the President and CEO to recreate reports, manage the President and CEOs expenses and review all documents for accuracy prior to presentation to the President and CEO.

3.) Serve as the Recording Secretary to the Pinnacle Living Board of Directors and all affiliated Boards. Taking and transcribing minutes of Board meetings, within one week of the meetings, and other meetings as directed. 

4.) Organize and maintain electronic and paper files and records.

5.) Work with legal counsel to create and submit the required Annual Disclosure Statements.

6.) Evaluates job performance and initiates or recommends hiring, disciplinary termination and commendatory actions on assigned team members.

7.) Relieves the president and CEO of operational and office administrative details.

8.) Manage all changes to resident contracts and addendums.

9.) Oversee all changes to Pinnacle Living, and its affiliate organizations, Policies and Procedures.

10.) Support and coordinate all renewal activities related to insurance, accreditation and disclosure.

QUALIFICATIONS

Knowledge, Skills and Abilities

1.) Thorough knowledge of business English, grammar, and business communications.

2.) Thorough knowledge of office practices, procedures an equipment. Requires advanced-to-expert proficiency in the Microsoft Office Suite with deep hands-on experience in Excel, Word and PowerPoint.

3.) The ability to independently manage the schedule of the President and CEO and respond to general correspondence and inquiries. 

4.) Knowledge of departmental functions and organization.

5.) Skill in taking minutes, accurately and with reasonable speed, or a variety of materials, including meeting minutes.

6.) Ability to perform a variety of administrative assignments requiring considerable exercise of independent judgment. 

7.) Ability to meet and deal effectively with associates, board members and general public.

8.) Knowledge of and ability to utilize artificial intelligence (AI) tools for the effective completion of assigned tasks.

9.) Ability to perform duties with speed and accuracy without immediate and constant supervision.

EDUCATION, EXPERIENCE, CERTIFICATION, AND LICENSURE REQUIREMENTS

1.) A bachelor's degree in communications, organizational development or an aging services field required. 

2.) Five (5) years of responsible administrative support of senior executives, preferably to include some supervisory experience.

3.) Required to act as a Notary Public

4.) Ability to maintain a good working relationship with all co-workers and the general public and to use good judgment in recognizing scope of authority.

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

1.) May include lifting up to 25lbs.

2.) Walking, bending, stooping, standing.

3.) Ability to work in a fast-paced environment with multiple tasks.

4.) Cross-training, working on some holidays, during inclement weather, and being flexible as to schedule in order to meet the needs of the organization.

5.) Exposure to the sighs, sounds and odors of a typical long-term care and health care environment serving senior citizens, some with dementia.
