About this position

Met-Cap Management is seeking a highly organized, proactive, and professional Personal Assistant to provide comprehensive support to our Chief Executive Officer. This is a highly trusted position that requires exceptional judgment, discretion, and the ability to anticipate needs while representing the CEO and the organization with the highest level of professionalism.

The Personal Assistant will manage both business and personal responsibilities, ensuring the CEO's schedule, communications, projects, and day-to-day priorities are executed seamlessly. The ideal candidate is resourceful, detail-oriented, adaptable, and thrives in a fast-paced environment where priorities can shift quickly.

A background in healthcare, medical administration, executive concierge services, or highโ€‘touch client support is highly preferred, as the role requires coordination of personal appointments, confidential medical information, and interactions with healthcare providers.

This position requires regular work from the CEO's residence, which serves as one of the primary work locations, as well as time at the Company's corporate office in Cranston, Rhode Island.

Executive Support
  • Manage the CEO's complex business and personal calendar, ensuring priorities are coordinated efficiently.
  • Coordinate meetings, appointments, travel arrangements, and itineraries.
  • Screen calls, emails, and correspondence while exercising sound judgment regarding priorities and responses.
  • Prepare meeting materials, presentations, agendas, and followโ€‘up action items.
  • Track deadlines, commitments, and ongoing projects to ensure timely completion.
  • Serve as a professional liaison between the CEO and internal and external stakeholders.
Personal Assistance
  • Coordinate personal appointments, including medical, wellness, and familyโ€‘related scheduling.
  • Communicate with healthcare providers, specialists, pharmacies, and other service providers while maintaining strict confidentiality.
  • Assist with personal errands, vendor coordination, reservations, household service scheduling, and special projects.
  • Coordinate travel, accommodations, and logistics for both business and personal engagements.
  • Maintain confidential personal records and organize important documents.
  • Anticipate needs and proactively resolve issues before they arise.
Administrative & Organizational Support
  • Organize and maintain digital and physical filing systems.
  • Draft correspondence, reports, and presentations.
  • Monitor action items and ensure followโ€‘up with key stakeholders.
  • Assist with expense tracking and reconciliation.
  • Coordinate special events, meetings, and executive functions.
  • Manage confidential information with the highest degree of discretion.
Relationship Management
  • Build positive working relationships with executives, employees, vendors, healthcare providers, and external partners.
  • Represent the CEO with professionalism, diplomacy, and exceptional customer service.
  • Exercise sound judgment when handling sensitive situations and confidential matters.
