Minimum Qualifications

CBIZ is seeking a highly organized and service-oriented Administrative Assistant to provide comprehensive administrative and operational support for our Indianapolis office. This role is critical in ensuring the smooth day-to-day functioning of the office by supporting team members, maintaining office operations, assisting with special projects, and helping create a professional and welcoming environment for employees and visitors alike.

Essential Functions and Primary Duties

  • Provide administrative support including scheduling appointments, coordinating meetings, preparing expense reports, and assisting with special projects.

  • Serve as a backup for front desk and reception duties, including greeting visitors, answering phone calls, and directing inquiries.

  • Manage incoming and outgoing mail, packages, and document processing.

  • Maintain electronic and physical filing systems and assist with document management activities.

  • Coordinate conference room reservations and assist with meeting and event setup.

  • Order, stock, and organize office supplies while monitoring inventory levels.

  • Maintain refreshment stations, kitchen areas, and common spaces to ensure a clean, organized, and professional work environment.

  • Assist with workstation readiness for employees utilizing shared or rotating workspaces, ensuring necessary equipment and supplies are available.

  • Coordinate office deliveries, vendor orders, and facility-related requests as needed.

  • Support office operations initiatives and contribute to the overall efficiency and organization of the workplace.

  • Collaborate with office leadership and team members to address administrative and operational needs.

Preferred Qualifications

  • Bachelor's degree
  • 3+ years of administrative, office support, customer service, or related experience.

  • Positive, proactive attitude with a willingness to assist wherever needed.

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.

  • Excellent verbal and written communication skills.

  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.

  • Strong attention to detail and commitment to accuracy.
