Job description

We are seeking a highly organized, professional, and service-oriented Assistant to the Principal to provide administrative support and help ensure the smooth daily operation at our Tucson campus for the 20026/2027 academic year. This position serves as a key point of contact for students, families, staff, and community members while supporting the principal with scheduling, communication, office management, and special projects.

The ideal candidate is detail-oriented, maintains confidentiality, communicates effectively, and thrives in a fast-paced educational environment.

Key Responsibilities:
  • Provide direct administrative support to the principal, including calendar management, scheduling meetings, and coordinating appointments.
  • Prepare correspondence, reports, presentations, meeting agendas, and other documents.
  • Serve as a welcoming first point of contact for parents, students, staff, and visitors.
  • Maintain confidential student and personnel records in accordance with school policies.
  • Coordinate school events, meetings, professional development sessions, and special projects.
  • Manage office communications, including phone calls, emails, and mail distribution.
  • Support purchasing, inventory, and budget tracking for the principal's office.
  • Coordinate substitute coverage, facility requests, and other operational needs as assigned.
  • Maintain organized filing systems and ensure accurate recordkeeping.
  • Collaborate with office staff and school leadership to promote efficient school operations.
  • Perform other administrative duties as assigned by the principal.

Qualifications & Mandatory Requirements:
  • Associate's degree required; bachelor's degree preferred.
  • Minimum of three years of administrative or executive assistant experience, preferably in a school or educational setting.
  • Proficiency in Microsoft Office Suite, Google Workspace, and standard office technology.
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Demonstrated ability to handle confidential information with professionalism and discretion.
  • Exceptional customer service and interpersonal skills.
  • Must be able to lift up to 20 lbs at times.
  • Current Arizona IVP Fingerprint Clearance Card.

Preferred Qualifications:
  • Experience working in a K–12 school environment.
  • Minimum of three years of administrative or executive assistant experience, preferably in a school or educational setting.
  • Familiarity with student information systems and school management software.
  • Experience coordinating events, calendars, and multiple priorities simultaneously.
