Job description

Weโ€™re partnering with an established industrial organization to recruit an experienced Executive Assistant to the President located in SE Edmonton. 
This is a key position supporting a busy President and requires someone who understands how to be a true gatekeeper; professional, organized, discreet and highly focused on keeping the executiveโ€™s time and priorities on track.
The right person will be approachable and build strong working relationships across the organization, while understanding that their primary responsibility is providing exceptional support to the President.
This is a fully in office position SE Edmonton and hours of work are 7:30 am - 4:30 pm. 
What Youโ€™ll Be Doing
  • Act as the primary gatekeeper for the President, proactively managing his time, schedule and priorities.
  • Manage a busy calendar, coordinate meetings and ensure the President is prepared for upcoming commitments.
  • Coordinate domestic and international travel arrangements and related logistics.
  • Act as a key point of contact between the President and internal and external stakeholders.
  • Anticipate needs, identify scheduling conflicts and proactively address issues before they become problems.
  • Prepare reports, presentations, documentation and other materials as required.
  • Complete monthly corporate credit card reconciliations.
  • Review, process and track employee expense submissions.
  • Administer company vehicles, including insurance, registration and maintenance coordination.
  • Plan and execute corporate events and social functions, including the annual Christmas party.
  • Coordinate vendors, logistics and budgets associated with company events.
  • Compile and coordinate content for the company newsletter as required.
  • Maintain organized electronic and physical records.
  • Support special projects and cross-functional initiatives as required.

  • Previous experience providing senior-level executives is required.
  • Strong calendar management, meeting coordination and travel planning experience.
  • Proven ability to act as a gatekeeper and confidently manage competing demands on an executiveโ€™s time.
  • Highly professional with excellent judgment, discretion and confidentiality.
  • Extremely organized with strong attention to detail and follow-through.
  • Proactive and able to anticipate what needs to happen next rather than waiting for direction.
  • Comfortable working with a direct executive who provides straightforward feedback.
  • Strong interpersonal and communication skills with the ability to work effectively with employees at all levels.
  • Comfortable working independently and taking ownership of responsibilities.
  • Able to manage multiple priorities and deadlines in a fast-paced industrial environment.
