Job description

This is a Personal Assistant and Family Office Coordinator role, working directly with the principal Monday to Friday, approximately 8/9 AM–5 PM, with the principal in the office most days. The position combines personal assistance, accounting, household administration, vendor management, and technology support, while helping establish a new US-based family office alongside the principal's existing UK team. The principal travels to the UK roughly every six weeks, typically for one week each trip, and some schedule flexibility is expected for UK time-zone coordination.


The Property

The principal maintains three residences, in Colorado, Connecticut, and the UK, coordinated alongside an existing UK based family office team. This role is based on the Connecticut residence in Cos Cob and serves as the primary point of contact for household and administrative matters.


Responsibilities

●      Work directly with the principal day to day and serve as the Connecticut household point of contact

●      Coordinate with the UK-based PA/EA and Connecticut-based daughter on schedules and household matters

●      Provide patient Apple and technology support, using AI tools to manage reminders, correspondence, and daily tasks

●      Manage invoices, vendor payments, expenses, and reconciliations

●      Maintain organized financial and property records across all three residences

●      Support foundation administration, recordkeeping, and UK reporting coordination

●      Help establish the US Family Office in alignment with UK practices, maintaining regular contact with the UK team

●      Track property inventory, furnishings, equipment, wine, art, and other assets

●      Manage Connecticut vendors and contractors, supporting other homes as needed

●      Provide broader family support, including scheduling, correspondence, and coordination

●      Handle sensitive family and financial information with discretion at all times

Requirements

●      Accounting degree or equivalent experience

●      Prior private PA, EA, or similar experience

●      Family office experience or readiness to help build one

●      Impeccably honest, discreet, and trusted with sensitive information

●      Self-directed, proactive, and highly focused

●      Organized, reliable, and consistent, with excellent written and verbal communication skills

●      Strong comfort with AI and productivity tools; patient with non-technical users

●      Excellent, stable work history and verifiable references

Compensation

●      $175,000–$200,000/year

●      Full health insurance and PTO
