Job description

Description

Who We Areย

HOH Water Technology is a third-generation, family-owned water treatment company proudly celebrating over 58 years in business. Our success has always been about more than water treatment - it is about investing in people and creating lasting impact for our clients, coworkers, and community. We believe our people are our greatest competitive advantage, and we have built a culture centered around our Core Values of Accountability, Creativity, Teamwork, and Service.ย

We are looking for someone who wants more than an Executive Assistant role. We are looking for someone who wants to become an indispensable partner to our Owner/Integrator (COO).ย

About the Roleย

  • This is not a role where you will simply manage a calendar.ย
  • You will become a trusted extension of our COO, creating the space for him to lead the business while ensuring every commitment, relationship, meeting, and detail is handled with excellence.ย
  • You will help protect his time, keep priorities moving, anticipate what comes next, and make sure the people around him experience the personal care and responsiveness that defines HOH.ย
  • If your greatest satisfaction comes from creating clarity, strengthening relationships, and helping people feel supported - all while keeping priorities, communication, and details moving smoothly - we would love to meet you.ย

What We Offerย

  • Competitive Compensation: Competitive salary based on experience of $85,000-$100,000.ย
  • Comprehensive Benefits: Medical and Dental Insurance with generous employer contributions, HSA contributions ($1,200 family / $800 individual annually), 401(k) with company matching, Life Insurance, and much more.ย
  • Generous Time Off: 15 PTO days, 16 paid holidays including extended holiday pay at the end of the year.ย
  • Profit Sharing Bonus: Company Profit Sharing Bonus (budget projection for 2026: approximately 3-4 weeks of additional pay).ย
  • Work Environment: This is an in-office role that reports to our Palatine, IL headquarters every day, working alongside the Owner/Integrator and Leadership Team.ย
  • Engaging Culture: Caring leaders who invest in people. HOH earned a 4.69/5 Gallup Employee Engagement Q12 score, and we believe in celebrating wins, giving back, and creating meaningful connections through team and company events.ย
  • Career Growth: Ongoing professional development, hands-on learning, continuing education reimbursement, and the opportunity to work directly alongside senior leadership to grow your business knowledge and career.ย

You'll Love This Role If...ย

  • You love creating order from chaos. A packed calendar does not overwhelm you - it energizes you. You naturally think three steps ahead, anticipate conflicts before they happen, and enjoy solving scheduling puzzles that most people would rather avoid.ย
  • You make things happen. You do not wait for someone to tell you what needs attention. You notice, anticipate, and follow through. If something could fall through the cracks, you have already caught it.ย
  • You are incredibly organized. Whether it is an important email from six months ago, meeting notes from last quarter, or travel details for next week's trip, you know exactly where to find it. Nothing gets lost on your watch.ย
  • You genuinely care about people. You remember birthdays, notice when someone deserves a handwritten note, and understand that the little things are what make relationships strong. You enjoy helping people feel seen.ย
  • You are a trusted professional. People naturally trust you with confidential information because you are discreet, thoughtful, and exercise excellent judgment.ย
  • You embrace technology. You are comfortable learning new systems and naturally look for ways to use technology, including AI, to work smarter, improve communication, automate repetitive tasks, and create more time for high-value work.ย
  • You are resourceful. Plans change, flights get canceled, meetings move, and priorities shift. You do not panic - you adapt, figure things out, and always have a Plan B.ย
  • You do not need the spotlight. Your greatest accomplishment is knowing everything ran smoothly because of your work. You find satisfaction in making others more successful.ย

What You'll Be Doingย

  • Own and protect the COO's calendar, ensuring his time is spent where it creates the most impact.ย
  • Prepare meetings from start to finish, including agendas, materials, logistics, and follow-up.ย
  • Manage communications, organize information, and handle confidential matters with exceptional judgment.ย
  • Coordinate travel, leadership meetings, and special events with an eye for every detail.ย
  • Serve as a trusted extension of the COO by helping maintain meaningful relationships with employees, clients, vendors, and industry partners.ย
  • Keep priorities moving, follow up on commitments, and make sure nothing falls through the cracks.ย

What Success Looks Likeย

  • The COO is consistently prepared and focused on the highest-value work.ย
  • Meetings run smoothly because everything has already been anticipated.ย
  • Employees, clients, and partners receive timely responses and feel cared for.ย
  • Important commitments never slip through the cracks.ย
  • The COO has more capacity to invest in people, strategy, and growing the business because you have created that space.ย

Why HOH?ย

At HOH, you will work alongside leaders who genuinely care about people and believe business should leave a lasting impact. We invest heavily in our employees through professional development, industry-leading engagement, generous benefits, profit sharing, and a culture where people know they matter.ย

  • If you are looking for a role where your organization, initiative, and care for people will have a direct impact on the success of a growing business, we would love to meet you.ย
  • We do not just want someone to fill this role - we are looking for someone who wants to become an important part of our story.ย

Requirements

  • ย 5+ years supporting senior executives, business owners, or leadership teams.ย
  • Exceptional organizational and time management skills.ย
  • Outstanding written and verbal communication.ย
  • High degree of professionalism, confidentiality, and discretion.ย
  • Strong proficiency in Microsoft Office, Outlook, Teams, and digital productivity tools.ย
  • Experience coordinating complex calendars, travel, and executive meetings.ย
  • Comfortable learning new technology and leveraging AI to improve efficiency.ย
  • Ability to prioritize independently and thrive in a fast-paced environment.ย
  • Must be able to report to our Palatine, Illinois office every day; this is not a remote or hybrid role.
  • Bachelor's Degree required.
  • Must pass a drug screening and relevant background checks and be legally authorized to work in the United States.
