Duties and Responsibilities 
  • Answering incoming calls on a multi-line system and direct them to the appropriate team member or department
  • Welcome and assist the clients and visitors upon arrival
  • Prepare the boardroom for meetings and ensure meeting spaces are ready for use.
  • Handle general administrative duties, including filing, scanning and maintaining records.
  • Prepare reports and correspondence
  • Maintain office organization and assist with light office upkeeps (for e.g. watering plants, keeping the office tidy, etc.)
  • Provide support to senior managers such as organizing emails and calendars as required, etc.
  • Format documents and create materials using MS Word and Excel, as well as proofread and edit documents
  • Assist with personal errands as needed (e.g., drop-off/pick-up dry cleaning, lunch, groceries)
Qualifications and Requirements 
  • 2+ years of experience as an Administrative Assistant
  • Valid driver's license
  • Access to a reliable vehicle
  • The ability to quickly learn and adapt to a new industry
  • Calm and professional demeanor in a fast-paced environment
  • Strong interpersonal skills to effectively support clients and customers
  • Proficiency in Microsoft Office Suite and other software (MS Word, Excel, PowerPoint, Google Docs, Canva, etc.)
  • Comfortable with computers, smartphones, and tablets, and willing to learn new applications
  • Strong research skills with the ability to present data clearly and concisely
  • Ability to work independently with sound judgement and attention
  • Excellent management, time-management, problem-solving, writing, editing, grammatical, organizational, and research skills
