Job Description

Overview:

The Development Coordinator (Multifamily) will assist in monitoring, directing, and communicating the development vision and process for multi-family projects. This includes responsibilities related to entitlements, new product development, site planning, site servicing efficiency, detailed building design and engineering, internal approvals, and all regulatory approvals, as well as project turnover to respective condominium boards or operators. This role is also responsible for cost accounting and controls related to project development budgets.

Key Responsibilities:

  • Establish and maintain internal administrative procedures, including document tracking, document control, database management, activity tracking, team communication, filing, and monthly reporting.

  • Coordinate and manage the flow of information within the department and across other internal teams and external organizations.

  • Attend site and team meetings as required.

  • Manage the departmental production tracker and all associated tasks, including obtaining building permits.

  • Administer and direct consultants in project planning, design, development, and approvals to ensure project continuity.

  • Collaborate with the Development Manager and planners to ensure timely issuance of all regulatory approvals (DP, BP, etc.), including the aggregation and submission of complete permit packages to the City.

  • Work closely with the marketing team to ensure accuracy and alignment of marketing materials (e.g., blacklines).

  • Submit applications for gas meters, electrical meters, and postal codes.

  • Coordinate with consultants to maintain drawing and permit schedules.

  • Attend site, consultant, and scheduling meetings with internal and external stakeholders as the need arises.

  • Lead organization and version control of documents within the multifamily team's databases (BIM360 & internal BPD drives).

  • Assist in leading consultants throughout the multifamily development process, including completing launch and production checklists, obtaining stage approvals, and submitting applications for regulatory approvals.

  • Support the direction and management of external partners such as regulatory authorities, planning and engineering consultants, landscape architects, condo corporations, and management companies.

  • Track and report on safety-related activities.

  • Initiate and coordinate fees and payments required for project production.

  • Assist in preparing tender packages, reviewing bids, and awarding consultant contracts for new projects.

  • Support the establishment of condominium corporations and serve as an active board member when required.

  • Provide regular reporting of operational activities to management.

  • Participate in internal business planning processes.

  • Run and report on internal approval processes.

  • Develop, monitor, and forecast cost controls (Lot Zeros).

  • Lead initiatives and process improvements to enhance departmental efficiency.

  • Troubleshoot issues and support change management to achieve business plan objectives.

  • Maintain positive relationships with external vendors, consultants, contractors, and regulators.

  • Collaborate with condo management companies to ensure they are well-equipped to respond to resident inquiries.

  • Attend industry events to build and strengthen relationships with key industry collaborators

What You'll Bring:

  • 2-5 years of experience in land development, planning, or a coordinator role (an asset).

  • Strong interest and skills for real estate development, construction, project management, and cost control.

  • Proficiency with industry-standard software, including BIM360, Bluebeam, APR, or similar tools.

  • Demonstrated commitment to continuous learning and professional development.

  • Excellent written and verbal communication skills.

  • Experience in planning and development within Alberta.

  • Ability to travel occasionally to Edmonton or Calgary.

  • Working knowledge of AutoCAD, Revit, and/or Bluebeam.

  • Post-secondary education in engineering, construction management, urban planning, landscape architecture, or a business-related field with relevant experience.
