Job Summary: The Shipping Coordinator is responsible for coordinating shipping, delivery, and related administrative activities to support customer orders and business operations. This role manages shipment scheduling, freight coordination, invoicing, payment processing, and customer communication while helping ensure accurate and timely delivery of products. This role also supports customer service activities based on business needs.

Essential Functions:

Shipping & Logistics Coordination

  • Coordinate shipments using common carriers, freight providers, and delivery services.
  • Obtain freight quotes and estimate shipping costs.
  • Schedule and coordinate shipment pickups and deliveries.
  • Assist with scheduling and coordinating local delivery routes.
  • Track shipments and monitor delivery status.

Customer Communication & Support

  • Communicate with customers via phone, email, and other communication channels.
  • Communicate with customers regarding shipment schedules, shipment details, delivery status, payment requirements, and shipping-related questions.
  • Support customer service activities as business needs require.

Customer Service Support

  • Support customer service activities and order-related inquiries as business needs require.
  • Assist with order entry, order maintenance, and customer account support.
  • Provide updates on order status and related customer requests.
  • Support customer communications and follow-up activities.

Billing & Documentation 

  • Process customer payments related to shipments and orders.
  • Prepare and process invoices following shipment completion.
  • Review and approve shipping-related invoices and charges.
  • Track shipping-related items and maintain associated records as needed.
  • Maintain accurate shipping, billing, and customer records and documentation. 

Issue Resolution 

  • Assess and responds to shipping and customer concerns and follow established procedures to address issues.
  • Identify and resolve shipping and customer service issues in accordance with established procedures and company guidelines.
  • Support follow-up communication to ensure resolution and customer satisfaction.

Workflow & Efficiency

  • Complete tasks accurately and in a timely manner.
  • Maintain organization across multiple shipments, requests, and priorities.
  • Support timely and accurate order fulfillment and delivery activities.
  • Follow established processes and communicate workflow challenges or improvement opportunities.

Team Collaboration & Support

  • Partner with customer service, production, shipping, accounting, sales, and other departments to support customer and business needs.
  • Maintain clear and professional communication across teams.
  • Support department initiatives and business objectives.

Safety & Organization

  • Follow company policies, procedures, and workplace standards. 
  • Maintain a clean and organized work environment.

Education and Experience:

  • Education: High school diploma or equivalent required; Associate's or technical degree in business, communication, customer service, logistics, supply chain, accounting, or a related field preferred.
  • Experience: 1–3 years of customer service, administrative, shipping, logistics, transportation, accounting, order processing, or related experience preferred.
