Job Title: Security Guard Coordinator

Scope of Work:

The Security Guard Coordinator is responsible for managing the day-to-day operational and administrative functions of the organization's security guard services. This role includes oversight of security personnel onboarding, scheduling, and timesheet verification, as well as maintaining contract compliance and assisting in business development efforts by identifying and engaging potential clients.

Responsibilities:

ย Administrative & Operational Duties

  • Coordinate the recruitment, onboarding, and orientation of new security personnel.
  • Maintain up-to-date personnel files and ensure all guards meet training and certification requirements.
  • Develop and manage security guard schedules to meet contractual and operational needs.
  • Monitor and review daily time sheets for accuracy and completeness; submit reports for payroll processing.
  • Conduct regular audits and performance evaluations of on-duty security guards to ensure professionalism and compliance.
  • Support recruiting efforts by attending events such as job fairs and networking functions
  • Ordering, uniforms and supplies required to facilitate the program.
  • Adhere to company policies, procedures, and safety regulations.
  • Performs other duties as assigned.

Client & Contract Management

  • Serve as the primary point of contact for existing security service clients.
  • Ensure compliance with all contractual obligations, including staffing, coverage hours, and reporting protocols.
  • Prepare and submit reports as required by clients or internal stakeholders.
  • Respond promptly to incidents, client inquiries, and service issues.

Business Development

  • Identify and pursue new business opportunities in the public and private sectors.
  • Attend community meetings, events, and networking functions to promote the organization's security services.
  • Prepare proposals, service agreements, and assist with contract negotiations for prospective clients.

Requirements:

  • High school diploma or GED required. An Associate's or Bachelor's degree in criminal justice, security management, or a related field is preferred.
  • Minimum of 3 years of experience in security services, law enforcement, or a related field.
  • Prior experience in a supervisory or coordination role is strongly preferred.
  • Proficiency with scheduling and timekeeping software.
  • Strong data entry skills and experience using office productivity tools, including Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook) and Windows OS.
  • Excellent written and verbal communication skills, with the ability to clearly convey information to staff, management, and clients.
  • Strong multitasking and organizational skills with the ability to manage multiple priorities simultaneously.
  • Proven ability to work independently and handle urgent issues promptly, including outside of regular business hours when necessary.
  • Must possess and maintain a valid state driver's license and a safe driving record, in accordance with company policy, to operate vehicles or equipment as required for the position.

Physical Demands / Work Environment:

  • Physical requirements include (but are not limited to) the ability to lift 50 pounds, pushing, pulling, carrying, stooping, bending, squatting, and reaching for long periods of time.
  • Must be able to work on-call, alternate, and extended shift schedules when necessary to meet the mission requirements, including weekends and holidays.
  • Work may be performed indoors or outdoors in varying weather conditions. Must be able to work in confined spaces, at heights, and around various hazards with appropriate PPE.ย  ย
