Assistant Ria Firm information

What is an assistant at an RIA firm?

Assistant RIA Firm roles typically involve providing administrative and operational support within a Registered Investment Advisor (RIA) firm. Responsibilities can include assisting financial advisors with client communications, preparing reports, managing schedules, processing paperwork, and maintaining compliance records. These assistants help ensure that the firm runs smoothly, allowing advisors to focus on client service and investment management. Strong organizational skills, attention to detail, and knowledge of financial industry regulations are valuable for success in this role.

What skills and qualifications are needed to thrive as an assistant at an RIA firm?

To thrive as an Assistant at an RIA firm, you need strong organizational skills, attention to detail, and a foundational understanding of financial services, often supported by a degree in finance or business. Familiarity with portfolio management systems, CRM software, and compliance platforms is typically required, and certifications like the Series 65 can be advantageous. Excellent communication, discretion, and client service orientation help you stand out in this client-facing, confidential environment. These skills and qualities ensure accurate administrative support, regulatory compliance, and a positive client experience, all of which are vital for a successful advisory practice.

What are common challenges faced by an assistant at an RIA firm, and how can they be addressed?

Assistants at RIA firms often manage multiple tasks simultaneously, from client communications to scheduling and document processing, which can make prioritization a challenge. Staying organized and proactive in communication is key to handling urgent requests and supporting advisors efficiently. Additionally, assistants must become familiar with industry regulations and firm-specific processes to ensure compliance and accuracy in client interactions. Building strong relationships with both the advisory team and clients helps facilitate smooth operations and contributes to a positive work environment.

Job description

Operations Coordinator

Benzor Capital Wealth | Full-Time

About the Opportunity

Benzor Capital Wealth (BCap Wealth) is a growing wealth management firm committed to helping our clients achieve financial freedom through comprehensive financial planning, investment management, insurance solutions, and exceptional service.

Behind every great client experience is an operation that runs smoothly.

We are seeking an Operations Coordinator who is energized by making things work better. This individual will play an important role in ensuring our client onboarding, new business, account implementation, and ongoing operational processes are completed accurately, efficiently, and on time.

We are looking for a go-getter—someone who takes ownership, follows through, solves problems, and is constantly thinking about how things can be done better. This is an opportunity for someone who wants to help build an exceptional operation while growing alongside a rapidly growing wealth management firm.

What You'll DoNew Business & Client Operations

  • Coordinate the end-to-end client onboarding and new business process, including Financial Planning Engagement (FPE) paperwork, investment and insurance applications, account openings, transfers, signatures, submissions, and funding.
  • Review client documentation for accuracy and completeness, proactively resolving NIGO items and other issues that could delay implementation.
  • Manage multiple client cases and workflows simultaneously, maintaining accurate statuses, documentation, deadlines, and next steps within Wealthbox CRM and other firm systems.
  • Coordinate with clients, advisors, custodians, carriers, wholesalers, and other partners to resolve outstanding requirements and move business efficiently through completion.
  • Maintain accurate client and account information across all company channels.

Operational Excellence & Process Improvement

  • Take ownership of assigned workflows from beginning to end, proactively following up and solving problems without requiring repeated direction.
  • Identify bottlenecks, recurring issues, and opportunities to improve the efficiency, accuracy, and consistency of the firm's operations.
  • Assist with developing, documenting, implementing, and continuously improving the firm's Standard Operating Procedures (SOPs).
  • Leverage technology, automation, and improved workflows to reduce errors, improve execution, and enhance the client experience.
  • Collaborate across the organization to help ensure BCap Wealth's operations continue to scale effectively as the firm grows.

Who We're Looking For

We want someone who genuinely enjoys operations, organization, problem-solving, and making businesses run better.

The right person is:

  • A self-starter and go-getter who takes initiative and follows responsibilities through to completion.
  • Exceptionally organized and detail-oriented, with the ability to manage multiple priorities and deadlines.
  • A proactive problem-solver who looks for solutions and opportunities for improvement.
  • Comfortable being accountable for outcomes—not simply activity.
  • A strong communicator and team player who brings positive energy, urgency, professionalism, and a desire to grow.

Preferred Experience

  • 2+ years of experience in wealth management, financial services, banking, insurance, RIA operations, brokerage operations, or a related operational environment preferred.
  • Experience with client onboarding, account opening, transfers, investment or insurance applications, and new business processing is strongly preferred.
  • Experience with CRM, financial-planning, custodial, or broker-dealer technology; familiarity with Wealthbox and eMoney is a plus.
  • Strong technology skills and the ability to quickly learn and adopt new systems and processes.

Exceptional operations candidates from outside financial services may also be considered if they demonstrate the initiative, attention to detail, problem-solving ability, and learning aptitude required for the position.

Why BCap Wealth?
