Administrative Assistant / Property Administrator LHH is seeking a detail-oriented Administrative Assistant / Property Administrator to support the daily operations of a commercial property portfolio. This role serves as a key point of contact for tenants, vendors, and visitors while providing administrative support to the Property Manager. The ideal candidate will possess strong customer service skills, excellent organizational abilities, and basic accounting knowledge, particularly related to accounts payable processing. This position is temp to hire and will pay between $20 and $22/hr. Responsibilities:
  • Provide administrative support to the Property Manager, including scheduling meetings, preparing correspondence, maintaining records, and assisting with special projects.
  • Serve as the primary point of contact for tenant inquiries, requests, and service-related issues, ensuring timely and professional communication.
  • Coordinate and track maintenance requests, work orders, and vendor services to ensure issues are resolved efficiently.
  • Maintain tenant files, lease documents, insurance certificates, and other property-related records.
  • Assist with the preparation and distribution of tenant communications, notices, and building updates.
  • Process accounts payable invoices by reviewing, coding, and allocating expenses to the appropriate general ledger accounts.
  • Enter invoices into the accounting system and assist with invoice approvals and payment processing.
  • Reconcile vendor statements and follow up on discrepancies as needed.
  • Coordinate with vendors and contractors regarding billing, service scheduling, and documentation requirements.
  • Assist with preparation of monthly property reports, budget tracking, and expense documentation.
  • Answer incoming phone calls, emails, and inquiries while providing exceptional customer service to tenants and visitors.
  • Monitor office supplies, manage incoming and outgoing mail, and support general office operations.
Qualifications:
  • 2+ years of administrative, property administration, office management, or related experience.
  • Experience supporting multiple stakeholders in a fast-paced office environment.
  • Strong customer service and tenant relations experience.
  • Basic accounts payable experience, including invoice processing and general ledger coding.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Experience with property management or accounting software is preferred.
  • High attention to detail and accuracy when handling financial and administrative records
