Job description

Role Summary
The Assistant Project Manager supports the Project Manager and field leadership in the safe, organized, and profitable execution of assigned work across Skyline Restoration's facade restoration, waterproofing, roofing, concrete, and interior divisions. The role helps manage turnover, documentation, procurement follow-up, cost tracking, billing support, change-order support, schedule coordination, and closeout so project information stays current and issues are surfaced early. This position is expected to improve operating discipline, protect margin through strong administrative control, and keep communication moving between the office, field, clients, and vendors.
Core Responsibilities
Area
Responsibility
  • Support handoff from estimating or preconstruction, review scope and contract requirements, set up logs and files, and help align startup tasks around schedule, procurement, billing, and field needs.
  • Maintain RFIs, submittals, meeting minutes, permits, notices, daily logs, drawing distributions, and correspondence so the project record stays current and defensible.
  • Assist with committed-cost tracking, invoice coding, labor and production visibility, forecast support, and monthly reporting so the Project Manager has timely job-cost information.
  • Prepare backup for requisitions, track pending and approved change orders, organize pricing support, and help keep billing, WIP, and collections documentation moving.
  • Help track material releases, vendor commitments, delivery timing, and required buyout or purchasing support so field operations stay supplied.
  • Communicate with project managers, superintendents, safety, accounting, vendors, and clients so open items are visible and follow-up is timely.
  • Organize punch-list, O&M, warranty, as-built, permit closeout, and final-record support so project completion is clean and timely.

Scope and Decision Rights
  • Authority to manage project documentation, routine coordination, log maintenance, vendor follow-up, and day-to-day administrative support on assigned work within Project Manager direction and approved company controls.
  • Responsibility to identify and escalate schedule slippage, material delays, scope gaps, billing issues, access constraints, safety concerns, and cost risk early enough for the Project Manager and leadership to act.
  • Shared decision support with project managers, superintendents, accounting, safety, and operations on procurement timing, change-order backup, billing documentation, recovery plans, and issue resolution; major commercial commitments remain with project management or executive leadership.

Measures of Success
• Accurate, timely project documentation, logs, and meeting follow-up
• Reliable support for billing, WIP, change-order tracking, and collections documentation
• Strong coordination with field teams, vendors, and internal departments that keeps work moving
• Early identification and escalation of schedule, cost, access, and procurement issues
• Organized closeout support, complete turnover packages, and clean final records
• Growth in independent ownership, judgment, and readiness for larger responsibility
Preferred Experience and Profile
  • Experience as an Assistant Project Manager, Project Engineer, Project Coordinator, or similar role in facade restoration, waterproofing, roofing, concrete restoration, interiors, or related specialty construction.
  • Strong organizational discipline with RFIs, submittals, meeting minutes, permits, purchase tracking, billing backup, change orders, and closeout documentation.
  • Comfortable working between the office and active jobsites while coordinating with project managers, superintendents, foremen, safety, accounting, vendors, and subcontractors.
  • Able to read drawings and specifications, manage multiple priorities, and keep project information accurate, current, and actionable.
  • Strong written communication, urgency, accountability, and follow-through; construction-earned judgment and field awareness are valued as highly as formal credentials.
