The candidate will start out in our Customer Support Department where you will learn the ins and outs of the pool industry, gaining knowledge that will propel your growth within the company, and help improve our customer experience.

Previous experience in customer service is highly encouraged. However, if you do not have experience in customer service, we have the best training process and training supervisor that prepares you for day-to-day operations and professional success. We offer in-field and in-office training that helps to strengthen your knowledge and prepare you for customer inquiries within the company.

Job Overview:

Pool Tech is seeking a dependable and customer-focused Admin Assistant to join our team. In this role, you will serve as one of the primary points of contact for our customers by assisting with scheduling, preparing service quotes, coordinating appointments, and providing exceptional customer service. The ideal candidate is organized, detail-oriented, and able to manage multiple responsibilities in a fast-paced office environment while maintaining a positive and professional attitude.

Job Duties

· Answer incoming phone calls and emails from customers in a professional and courteous manner.

· Assist customers with scheduling questions and service requests.

· Schedule service appointments for maintenance, repairs, diagnostics, equipment installations, pool openings/closings, filter cleanings, leaf net services, and chemical treatments.

· Prepare and send customer quotes for pool services and equipment-related work.

· Send appointment confirmation emails prior to scheduled service.

· Update and maintain customer accounts and work orders with accurate notes and information.

· Communicate with technicians and office staff to ensure efficient scheduling and customer satisfaction.

· Route customer concerns, complaints, and requests to the appropriate department for resolution.

· Respond to customer inquiries regarding services, scheduling, maintenance, and billing.

· Monitor email inboxes and respond in a timely manner.

· Maintain accurate records of customer communications and scheduling activities.

· Provide administrative support to management and other departments as needed.

· Deliver exceptional customer service while maintaining professionalism and attention to detail.

· Perform other administrative duties as assigned.

Qualifications

  • Detail-oriented with basic computer proficiency.
  • Ability to work independently and as part of a team.
  • Competent and confident in managing multiple responsibilities with minimal supervision.
