Job description

POSITION SUMMARY:
Performs a wide variety of clerical and administrative support to Consumer and/or Commercial Loan Officers. Coordinates the processing of approved new commercial or consumer loans, letters of credit, extension, modification, and deferral agreements, loan advances, and any other documentation as necessary. Provides backup support to other loan and administrative assistants when necessary. Exercises independent judgment under moderate supervision. Conducts relationships and activities consistent with established Bank policies, procedures and systems, the corporate code of conduct, Bank Secrecy Act and all applicable State and Federal laws and regulations.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Coordinate the processing of approved new loans, letters of credit, extension, modification and deferral agreements, loan advances, and any other documentation as necessary. Report any exceptions promptly and prior to disbursement.
New Loans:
  • Order flood certifications, appraisals, pest inspections, title insurance, UCC searches, and surveys as needed.
  • Review loans in process for accuracy, technical exceptions and adherence to policies, laws and regulations; reports exceptions to immediate supervisor and/or commercial loan officer.
  • Close loans and disburse loan proceeds.
  • Ensure documents are recorded and legal filings complete.
  • Follow up on documentation exceptions and/or any outstanding items such as financial statements or evidence of insurance.

Extension, Modification, and Deferral Agreements:
  • Prepare new documents and present to loan officer for review.
  • Maintain follow-up system to ensure documents are returned in a timely manner.
  • Update records and verify that files are complete and accurate.

Loan Advances:
  • Ensure loan advances are handled accurately, according to instructions and in keeping with policy; report exceptions to the loan officer and immediate supervisor.

Scan documents and verify that they are properly imaged and readable.
Prepare transactions, reports, correspondence, memos, and perform other clerical/administrative duties in an accurate manner.
Handle phone calls, take messages, schedule appointments and meetings, and assist with meeting preparation.
Respond to internal and external inquiries regarding the status of loans in process, technical exceptions, loan documents and other banking-related questions.
Remain alert for and report potential business opportunities.
Provide accurate product information and actively seek cross-sell opportunities; make appropriate business referrals to other departments.
Establish, implement and maintain methods and procedures to assure all loan actions are processed correctly and timely. Maintain a comprehensive procedures manual on all job responsibilities.
Consistently demonstrate proficiency in providing exemplary customer service in person and by telephone. Maintain a friendly, positive, and professional attitude. Resolve difficult situations with tact and diplomacy.
Operate a variety of office administration equipment such as PC, typewriter, copy machine, FAX machine, calculator, printer, etc. Utilize computer software applications such as word processing, spreadsheet, Outlook, credit bureau, and Internet.
Advise AVP-Administration of problems with procedures, policies, improper calculations, deadlines, and other problems.
Maintain neat and orderly work area and ensure that all confidential records are secured and/or disposed of properly.
Complete or attend all required training.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
Assist others in the department as needed and/or directed.
May be assigned other duties and responsibilities, to further career development.
High school education or equivalent. At least two years of experience in general office work or completion of an Associate's degree in Administrative Office Systems or a related area. Previous experience as a loan or administrative assistant or exposure to credit underwriting or financial analysis is preferred.
Knowledge of modern office practices and procedures; accurate grammar, spelling, punctuation and standard English usage; business correspondence formats, record keeping and filing methods; basic math calculations.
Strong PC skills required including Microsoft Word, Excel and Outlook.
Ability to sort, cross-index, and file correspondence, reports, records and other materials according to alphabetical or other acceptable organization methods.
Must possess good judgment and organization skills, the ability to prioritize, and handle confidential information.
Ability to deal effectively and courteously with a large number of associates and members of the general public.
Ability to read, write, and speak English. Effective oral and written communication skills.
Ability to interpret and follow variety of instructions furnished in written, oral, diagram, or schedule form and complete assignments without detailed directions.
Ability to independently plan, prioritize, organize and complete work in an efficient manner. Ability to work quickly and accurately. Attention to detail required.
Willingness to assume additional responsibilities/duties/projects as they arise.
Ability to maintain regular and punctual attendance.
Ability to operate office equipment including computers, calculators/adding machines, telephones, voice mail, electronic typewriters, copy machines, and FAX machines.
