Overview
How you can make a difference
HealthEquity is seeking an exceptional Executive Assistant & Business Partner to the CEO. This is a highly visible role supporting the CEO of a public company and serving as a trusted partner, operator, and force multiplier. This role is more than calendar management. The Executive Assistant will help the CEO stay focused on the company's most important priorities by managing time, information, relationships, meetings, travel, follow-up, and executive office operations with precision and judgment. The ideal candidate is proactive, highly organized, discreet, and comfortable working in a fast-paced public company environment. You will partner closely with the CEO, Senior Leadership Team, Chief of Staff, Board members, and Investor Relations, serving as a face of the CEO's office and reflecting the values of HealthEquity, while delivering with precision.
This role reports directly to the CEO and sits onsite 5 days a week at our headquarters in Draper, UT.
What you'll be doing
Manage the CEO's Time and Priorities
  • Own and manage the CEO's calendar, ensuring time is focused on the highest-value business priorities.
  • Review and prioritize meeting requests, recommend tradeoffs, and help protect time for strategic work.
  • Prepare the CEO for meetings by ensuring agendas, materials, context, and desired outcomes are clear.
  • Anticipate scheduling conflicts, urgent needs, and changing priorities; adjust quickly and professionally.
  • Help the CEO stay focused, organized, and prepared throughout the day, week, month, and quarter.

Run Executive Office Operations
  • Support the operating rhythm of the CEO office, including executive meetings, Board meetings, investor meetings, leadership offsites, company events, and key business reviews.
  • Track CEO commitments, follow-ups, decisions, and action items to ensure strong execution.
  • Partner with the Chief of Staff and senior leaders to coordinate agendas, pre-reads, meeting materials, and next steps.
  • Create simple systems, trackers, and workflows that improve how the CEO office operates.
  • Identify ways to reduce friction, improve communication, and increase executive effectiveness.

Support Board, Investor, and Public Company Activities
  • Coordinate logistics and preparation for Board meetings, committee meetings, investor meetings, earnings-related activities, and other public company events.
  • Partner with Legal, Finance, Investor Relations, Communications, and the Chief of Staff to ensure materials and timelines are well managed.
  • Handle sensitive and confidential information with discretion, including Board materials, financial information, organizational changes, and leadership decisions.
  • Maintain a high level of professionalism and confidentiality in all internal and external interactions.

Build Strong Executive Relationships
  • Serve as a trusted point of contact for the CEO with executives, Board members, investors, customers, partners, employees, and external advisors.
  • Build strong relationships across the Executive Leadership Team and administrative partner network.
  • Help route information, clarify ownership, and ensure timely follow-up across teams.
  • Draft or edit CEO communications as needed, including follow-up notes, meeting summaries, announcements, and internal messages.

Coordinate Meetings, Events, and Travel
  • Proactively plan and manage complex meetings, leadership sessions, offsites, customer meetings, Board-related events, and company events.
  • Own meeting logistics, including agendas, materials, attendees, rooms, technology, catering, transportation, and contingency plans.
  • Coordinate all CEO travel, and coordinate dependencies with other executive team members and their EAs to drive efficiency, including itineraries, briefing materials, expenses, and real-time changes.
  • Ensure meetings are well organized, purposeful, and focused on clear outcomes.

Create Leverage Through Tools and Process
  • Use technology, AI tools, and workflow automation to improve speed, organization, and productivity.
  • Improve systems for calendar management, meeting preparation, action tracking, document organization, and communication.
  • Support special projects for the CEO office that require coordination, discretion, and follow-through.
  • Look for practical ways to make the CEO and executive office more effective.

What you will need to be successful
  • 8+ years of experience as an Executive Assistant, Senior Executive Assistant, Executive Business Partner, or Chief Executive Assistant.
  • Experience supporting a CEO, President, Founder, public company executive, or senior C-suite leader.
  • Experience supporting executives in a public, private equity-backed or other fast-paced, high-stakes environment.
  • Strong calendar management, travel coordination, meeting planning, and executive support skills.
  • Experience working with senior executives, Board members, investors, customers, partners, and confidential information.
  • Excellent written and verbal communication skills.
  • Strong judgment, discretion, and emotional intelligence.
  • Ability to manage competing priorities, move quickly, and stay calm under pressure.
  • Proficiency with tools such as Microsoft 365, Teams, Zoom, expense systems, board portals, and AI productivity tools. A strong inclination to use new tools to pursue continuous improvement.
  • Flexibility to support urgent needs, changing schedules, travel, and work across time zones.

Preferred Qualifications
  • Prior experience supporting the CEO of a public company.
  • Experience with Board meeting preparation, investor relations, earnings cycles, or public company governance.
  • Experience partnering with a Chief of Staff, General Counsel, Investor Relations, Corporate Communications, Finance, or People team.
  • Experience improving executive office processes, meeting cadences, action tracking, or administrative operations.
  • Bachelor's degree or equivalent experience preferred.

Salary Range
$99500.00 To $129500.00 / year

Onboarding & Travel
This is a Draper, Utah based role, with an in-person onboarding training component. New team members must participate in Trailhead, HealthEquity's immersive onboarding experience Trailhead is designed to foster meaningful connections, support your integration into the organization, and equip you with a strong understanding of our business. Trailhead participation is a key expectation of this role. Trailhead is held onsite at our headquarters once per quarter. HealthEquity covers all required travel and accommodations.
